do we have to setup a the email and must have a microsoft exchange license for notifications, because i didn't got mail of approval

Hi, Yes, both sender and receiver need to have an email setup: learn.microsoft.com/en-us/dynamics365/business-central/across-setting-up-workflow-notifications

What do you do when you don't want it to be possible to open a purchase order and be able to adjust it without someone approving it?

HI @Luke-zr5ew, There's nothing native in BC that'll prevent a user from setting a PO status to Open. You would have to build a custom extension to prevent users from approving a PO.
