Today we’re talking about file management. It may be less sexy than talking compression; however, a well organized hard drive yields efficiency and we ALL like that word ;-)
In this video, I talk about some Cubase specific things, like:
How I use the “pool”
How to copy projects to other folder destination without losing audio files
How to clean up some hard drive space
And more…
BUT FEAR NOT, all you non-Cubase users! You can surely implement the same basic premise to your workflow. You can never be too organized! (Or can you?)

Yeah, good Infos! Addendum: If you have already a big mess with your songs all in one folder, you can use that Backup-Trick to backup every song in its own folder. When you have done that (every song backed up), then you can delete the original messy folder (that way I cleared lots of space because before that I could never find out, which files where of no use, as long everything rested in the same place...)

Paja Rocky , Hey thank you, I nearly forgot that function. But I think the second reason I performed that backup action was, that I preferred to hav all my songs in different folders - and the audiofiles in corresponding subfolders...

Me too. But sometimes I have one song in one folder but lot of versions of final mix (lot of cpr files but stil one song) .

Hi Chris, I offer this in the hope it might help some users. As you know Cubase stores it's files and settings all over the place. This makes it a nightmare for enabling backups of things like your own key settings, macros, etc. If you save a profile or even backup a project you don't get everything. I have been using a program called BeyondSync for years now and I've just put it to very good use in my Cubase setup. BeyondSync lets you specify a set of folders on your computer and automatically back them up to another drive. You can specify the backup to run whenever you wish. Unfortunately it's not free but it's not expensive. If you use this program, once setup you can be sure that, say, monthly all your settings saved by Cubase to, say, C drive /users/yourname/ Steinberg/blah blah are backed up to another drive. and if all else fails you can retrieve them easily. I never heard of BeyondSync. Backing up is so important. On my side I work with BackBlaze for cloud backup and I also have an NAS for auto backup

Great info. FYI, earlier this year a bug crashes Cubase when using Remove Unused Media. Recent updates fix it. Backup Project is best way to consolidate files to a folder for sure.

What about the old feature, we used to be cabable of cubase search all the cpr files and delete all the audio that was unused! They put out that feature? Thanks Chris!

Hi Chris. Came by this older video, so it's possible you may have covered my question elsewhere, but since I can't find it, here goes. Re: Transfering a project to either a second machine or someone elses machine, does 'project backup' option save all the necessary files required for a flawless transport of a project to the new machine? This is assuming, the new machine has all the requisite plugins installed. I'm thinking all the relevant addtional files, the same folder, plugin presets, peak & image files, etc. Happy Xmas

Thanks for another helpful video! This video is not your usual format where you give one useful real world tip, rather in this one you almost explain only basic Cubase functions like the pool. Just saying. What about other ways of moving files between projects like track archive?

not the usual format but needed since I've received a bunch of questions via email about this, people losing files and stuff. I will produce anything that can help even if it's basic stuff. I use Track Archives mainly for track presets or VSTi's like I did here kzfaq.info/get/bejne/Y9lhhLaZnNGbnXU.html I can do a vid on what you're suggesting though :-)

Just to give you more feedback what I find the most useful in your videos. So in this file management video I find it most interesting when you say how you usually keep order in your projects, not when you explain all kinds of possibilities in Cubase. I learned about the Track Archives from your vid. But you focus there on using them to set up default synths without audio/midi. I have been recently using them to transfer multimic drum takes between different project files.

me too...had to move about 50 files when my C drive was filling up! Two Cubase teachers I paid to come and help me did not tell me this simple and clear explaination or solve the problem!!!

I´m working with CB over 10 years now. Started with CB 6.0, now I´m on Pro10.5. What I never noticed and therefore always neglected where substantial things you tell here! Now I´m about to remix almost all of my old stuff and look upon a cluttered mess of files all over my hard drive. Is there a way to make CB grab all the used file of Song1 and toss them in the new Audio folder I create when I start the new mixing session of Song1?

I know this is an old thread, but I hoping to get someone to answer a technical question for me. First off, does Cubase use a temp folder on the C drive while working a project? The reason for that question is this...At the moment, I have my projects all saved to a folder on my C drive, also where Cubase lives too. I have a 1TB HDD that I want to move all of those projects too, also samples VST's and so on. I need to know, if I move that all over to that drive, will Cubase continue to process everything in a temp folder on the C drive while I'm working on a project, or will it all be processed using the HHD where the files would be at? I don't want to move them over to the HDD that's only a 5500rmp drive and have my processing speed down to a crawl? BTW I'm using Cubase pro 10.5 on Win 10

Hi Chris good video as usual. (Paid version) Cubase elements 10.5 does not save an audio folder in my projects folder as in your video.... I'm beginning to think there's many bugs in 10.5 Any advice would be very welcome, before I get too involved with this buggy program... My return to Reaper is looking most likely if these seemingly minor bugs cannot be fixed.

Thanks Chris, these kind of fundamentals are very important and easily overlooked or not always understood. Would you mind giving advice on how to minimize "unexpected errors" and drop outs on cubase pro 9.5? I use a macbook pro and at least 5 times a day cubase just shuts off and says "an unexpected error occured."

Hey Billy, it will be hard to do a vid on this cause these types of errors are not general errors that all users will get. It mainly has to do with the computer at your end. It can be anything...Maybe contacting Steinberg support would be a good idea.

hello and thanx so much , Chris . Silly question but with time Cubase projects begin to work slowly and even if there're not many lines , there's a "reading" file of plugins , that is somewhere but i can't find it .. i mean is there a way to renew it or delete , so Cubase would read all plugs like they're just installed and the projects would work faster without sound breaks etc..? sorry again , hope i could explain

Hey, how do I create a Template of one Song and use it on another Song without the old audios in the pool. It happens that I open the saved template and it has all the old audio files in it. It happend that I deleted all in the pool and my origin files of the old song are gone from my hard drive.

Hi Chris, I love your channel! Something is unclear to me. I have 8 songs which were tracked in one project folder. i then saved each song to new projects, which all refer to the original tracking audio folder. When backing up the individual song projects and choosing 'remove unused audio' will that delete the audio for all the other songs from the original audio folder? I desperately need to recover drive space but I'm terrified I lose everything. Thank you Chris.

Hi Chris. Great vid with lots of info, here. Totally see the need for good pre-emtive file management. I want to record a big session (Full Drum Kit, Bass + Scratch Vox & Scratch Gtr) for multiple songs, say 6. I have a recording template, and will be re-recording all guitars/vocals and overdubs seperately later, but I want to keep the record template open throughout the session - always be 'ready' to record. So I end up with 1 project, 6 songs and10 tracks per song. This means I end up with lots of audio in the original pool. When it comes to the re-records and the overdubs (which will be done piecemeal) Later I need to create a separate project for each individual song. What would be the best way to do this, or how would you manage this? Thanks for any help

Any suggestions on how to back up all cubase projects to a external hard drive....and to clear up this, when I do this if I saved the individual projects in a folder but audio is still in default folder I have to get those files also....yes I wish I seen this video a long time ago lol Not doing any music during this coronavirus thing until I organize and back up all my old projects

If all your Cubase Projects and Default Audio folders are in the same location, you can just drag and drop them to your new drive, that simple. You can also so use the Backup Project option in Cubase and back up one Cubase Project at a time. (File---Backup Project) That will create a new project with a new audio folder as well. I will show thatto you on this week's Cubase Q&A video :-)

I use Alt+CMD+S to increment the Song In the same Folder, which gives me a fall back should I not want what I have Done after the increment. would it be advisable to use the backup instead of the increment option.

I do the same when working on a project when I don't need to manipulate my original files. Backup Project is useful when you need to clean up your POOL and delete files for some reason and you don't want to take the chance to loose anything. Or simply to backup your project on another location

Hi, Chris. A few months ago I bought a Cubase Pro 10.5. And I have a problem- in "Media" a funchtion "prepare archive" shows inactive. So, question is- where is the problem, and how I can turn it on? Help me please.

There's no problem. Prepare Archive will be available if you have Audio in your project that is NOT in your Project's Audio Folder. This way, you can copy them over to your Audio folder. So if Prepare Archive is grayed out, that means that all your Audio is in your Project's Audio Folder, so you're good!

I have noticed, that, when I`m trying use an option "copy drum map from instrument", it doesn`t works with BD. What about that annoying thing that Cubase does, cluttering my root menu up with "VST3 Presets" and "Steinberg" folders? God I hate that. How can I avoid that? I love my pristine roots menu and would like to keep it that way. And I don't even need either of these folders.

Looks like your cpr files are pointing to media player... Right -Click on a Cubase file (.cpr) andgo on Propreties... in "Open with" look for your Cubase version.

@@mixdownonline Thanks for replying back , sorry I didn't tell what version which is cubase 10.0 Pro and my files are set to the default locations which is c/users/ music and I think this is my problem because my media players also use this correct me if I'm wrong and how can I set cubase not to use this location and I also use an external hard drive I save the file in it but it also send the file to the media players appreciate how you explain remedies

Great tutorial Chris! I have a question kind of related to this. I am moving over to a new computer. On the old I had all Cubase- and plug-in files on the C drive. On the new computer I will use the C drive (ssd) for applications and a D drive (hdd) for the project- and audio files. Once I have moved my existing Cubase project files from the old computer into the D drive on the new computer, what is the easiest way to change the location from C to D in the project files? Or should I do this in any other way? I am using Cubase 10 Pro. Thanks! Best regards, Petter

Nothing more to do than transfering your project files to the new drive. Then just open a Cubase Project from your new location, Cubase might ask you to confirm the new location but that's pretty much it. The rest will be to install all of the same plugins and VSTi that you had before.

hi Chris, i love your great videos, but as a former logic x user I wanna say that cubase has very bad file management system...a lots of time the project is missing samples, theres no way to save the custom samples played with GA or sample track with the project like logic or studio one...when you open the project the tracks maybe will be there but not the samples....i hope its not a big deal for Steinberg to fix this...regards

When you deal with samples to be used in GA or other VSTi, Cubase will not copy those samples in your project until you render them. It will link those samples to their original locations. I never have a problem with this since I have a dedicated drive for all of my samples :-)

Hi Cris, I always create a project for each song, once the song is finished I delete the files that are left over from the pool as well as your samples in the video (Remove Unused Media), and then I delete everything from the trash, when I open the project again to continue working I always see the same message as your samples at minute 11:47, what can I do to remove that message? Thank you

That means that you have files in the pool that are not linked to any audio files in the AUDIO folder. For example, if you clean you POOL and DELETE TRASH and you forget to save before closing Cubase, the next time you will open your Cubase project the POOL will list these files even if they are deleted and you will get that message... That's an example

Is there absolutely no way to restore media you permanently deleted from the pool? I’ve been working in Cubase for 5 years and I finally made the mistake today, when trying to export a template. I hit ‘save as’ -> deleted all the region media -> exported as a template. Then I made a new project folder, and created project from template. Opened the pool and saw that media still existed. So, without checking the file path, I quickly removed it and permanently deleted it from the trash. Went back to the old session to work on the other song, and well BOOM all media gone. I’m currently running disk drill on my D: drive. Yes, my projects aren’t on my C: drive. No, I don’t have drive protection on. Yes, you can tell me how F’d I am.

hey Chris, I recently did a recording for one of my friends, and it took him quite a few take to get it right. when I go to my media pool I see that a lot of the takes went to the trash bin. my question is, is it safe for me to empty the trash bin and remove the take completely from my computer? thanks in advance and sorry for the long question...Cheers SUB403

It's safe to empty the bin if you're sure that you have what you need in your session... If you're not sure, Backup your session first (File--Backup Project)
