Love only having two priorities! I’ve never understood “low priority”…. I wouldn’t be doing it if it’s was truly low!

Tiago This is very helpful. I will have to translate it to the PC world for the apps. It should be easy. It clearly extends your recommendations to not do anything until you must and then only do as much as necessary at the moment. The BSAB course has been a rich experience (from capture to summarize to use). It has been the clearest example of working smarter rather than harder I have encountered. The course is a great combination of concepts and practices supported by personal experience. Thank you and your staff.

Awesome video. I use Things 3 on the I pad and with your video i finally understand the beauty of simplicity. I am a person who starts to overthink quickly, so a system that leaves you with endless possibilites, does make it difficult to achieve something beneficial. But here I have simple stuff, right to the bottom. I will try to implement it into my productivity flow. Just one question: What do you do with the Medium priority tasks? At some point they also need to be done. But they are only Medium priority, and when you capture new tasks, there will always be new high priority tasks. So when do you get the time to do the medium priority tasks?

This is great. I use Asana with a similar workflow - love the way you use the "today" list and that got me thinking about some ways to recreate a similar functionality using projects in Asana. PS Damn I need to download that vgr book too.

Sorry if someone has said this: looks like your separators in there today list should actually be tags, which means cultured code should build in a way to select tags to act as separators in certain views. Hope they are listening! 😊

Hi Tiago, great video! In which process do you take a look at the tasks you have added to the “area responsibility“? How often would you do that? Not so often, since you have already taken care of the ones you have marked “urgent”? Regards, Sousan

Hi, thank you for this video, just one question, why you put a few medium priority tasks in "today" list, if you say its only for tasks that need to be done in the week, that means only high priority...

Tiago, I thought you had your Evernote set up with all those folders and such. Are you using them both for task management? Do you have an inbox in Evernote to capture tasks, or do you only assign yourself tasks in Things? How do you use these two apps in relation to each other?

Around minute 11~ you can see the Things interface here where a toggle from High to Medium is present. You could review the full list of medium tasks (which would be organised by project/list) to scan and reassign to high. I use a mixed windows/apple environment so I will be using Google Tasks and calendar. It doesn't have as many functions as Things but my method of a similar workflow is: 1. I add directly to My Tasks for preprocessing (where Tiago adds to Inbox) 2. process all the tasks to relevant lists (before prioritising) 3. to prioritise, I'll review each list and write in a calendar event spanning Monday-Saturday any high priority tasks. 4. As I accomplish I'll tick off in the task manager (not in the event so as to avoid double handling). Rinse and repeat. You could, as you say, avoid this by just adding dates to your tasks and have it integrate with your calendar. From my understanding it seems like the system Tiago is advocating for is to preserve all or most of your week-ahead planning brain power for during the review period. This avoids potentially double-handling and having to reprioritise and recategorise or redate tasks as you shuffle or miss deadlines etc etc.

I think there's something missing ~ how do you review the medium priority tasks from the previous weeks? Shouldn't that be here as well and, if be added to this week? I mean, in 3 weeks's time you'll need to buy that bday present, right?

He mentions around the 2:20 mark that when labeling things as medium priority, he knows he has the confidence that in 5-7 days he'll come back to them and re-review them. So presumably he does a sweep of all medium priority tasks and promotes some to high priority for the upcoming week.

@@boblauer Great catch! I also think that this sweep of all medium priority items to decide whether to promote them to high priority needs to happen before step 1 (batch processing inbox). This way, old items are handled before handling new items and are thus never left behind or forgotten.

I thought the same thing. In Apple Notes, I created a smart list for tasks marked High Priority and another for tasks marked Medium Priority. I review both and Flag the tasks that I want added to another smart list called This Week. Maybe I’ll do the Medium task this week, maybe I won’t, but it will stay in the Medium Priority smart list until it becomes a High Priority or I run out of other things to do.

I've watched all 5 videos - very interesting and helpful. One question: Getting to zero emails in the inbox - as a 'weekly review process' does this mean you respond to emails once per week or every few days? If yes, I'd be interested in finding out how you transitioned everyone you work with to that reality.

This is very good and detailed. However, there is one critique I would like to point out. This is fine, if you don't have a team to run. What happens in the case where you have a team to run and you are reliant on their inputs to get the tasks completed? How do you go around that complication? Any examples?

I have both your books , building a second brain and the para method. I'm a bit uncertain if I should use the CODE or PARA method in CODE in Organise it states to use PARA. Can you explain the difference between the 2 methods and what is best to use for my work activities? Many Thanks

Question, wouldnt it be easier to sort the tasks by project as soon as you are creatin them? Since your Things and Evernote "folder" structure is similar, couldnt you just instead of sending the task to the inbox send it straight to the project from the "quick capture" window? Seems like sorting all those inbox tasks into projects later on can take a lot of time. Just wondering if you ever considered that, thanks!

My guess is that taking the time and effort to choose and sort the tasks as they're created would be a source of friction as you're trying to process your various Inboxes.

Do you really not look at your emails during the week when you're working through this list? I ask because, while I get it 100% that this is brilliant, what about real emergencies that come up during the week? Things that are last minute, urgent and important, and which could not be planned or foreseen before now? Would everyone know that if something like that came up they should ring you on the phone instead?

Archive all medium ones someplace safe and start over only focused on absolute highest priority tasks for that week. Repeat as often as necessary

How can you create subtags in Things 3? Like with the priority thing where you then have the medium and high option.

You just drag a tag under another. So in this case, create three tags: Priority, High, and Medium. Then drag High and Medium under Priority. Tags are under Windows.

I was trying to do the same with Todoist due to the fact that Things 3 is only available on Mac and I realized that it is basically impossible to reach the same speed as you do in this video. In order to change the priority, you have to edit each task, one by one and updating the title with "p1", "p2", ... or changing the priority field. The documentation says that you can define the priority with shortcuts like 1, 2, 3, etc... but it doesn't work actually.

This approach to task management seems way too tedious to me and it lacks context. Ever since I started using Roam Research it has dramatically simplified my personal task management while improving my workflow. IMO you’re using too many apps and in the process spending too much time managing your system vs getting real work done. I do like PARA however and have found a way to adapt it within Roam.

It may seem like a lot of work but this actually isn't too tedious. You're going through this process a couple of times per week. Each time takes 15-30 minutes depending on the volume of incoming stuff. Lets say you do this process 3x in a week for 30 minutes. Thats 90 minutes to keep your system clean. And that is over estimating. That doesn't seem like a heavy time investment for doing a complete inventory of your life's responsibility. Re your point about using too many apps. Tiago is using 3 management apps: Calendar, Task Manager, Notetaker. This is not extensive. Apps like roam and notion are amazing. And you are right to mention them - they are the future of task management. They are catching up. But think about it this way: - Fantastical, MS Outlook or Google Cal are better calendars than Notion and Roam (which don't really integrate with other Calendars) - Apple Notes, Evernote and MS One Note are better (or at least as-good) notetakers as Notion or Roam - Todoist or Things 3 are better task/list managers than Roam / Notion in many ways (though personal preference is a factor here) Until Notion or Roam create Calendar, List management and Notetaking functions that fully rival or surpass these other apps, there are actually a lot of reasons for keeping your system spread across a small handful of apps. If Roam works for you then thats totally awesome. And centralised apps like Roam or Notion are the future. But I just wanted to offer this perspective to anyone who feels unsure about Tiago's approach where multiple apps are being used.
