This is saving me a lot of work. Question though! I need to do some cleaning in my Sharepoint page, if I drastically reduce the old files that we don't use in Shpt anymore, can I expect for my queries to load faster as well? Thanks!

Hey Tai! Having less files does help, but I'm not sure what kind of scale you're looking at. I like to have a site specifically for hosting Power BI-related files (sources and pbix) vs using a larger generic site, it keeps the total number of files much lower. You can also do the initial query in a dataflow and connect to that, that way if you're referencing the same content multiple times in other queries or files you're not having to extract it from SharePoint each time.

SharePoint 100%. Reason being, you want other people to be able to troubleshoot issues with it if you're out of office, or if you leave. If you leave your org, your OneDrive is deleted.

Very usefull, thanks. What I would like to understand is the reason of the steps starting from 4:00. Is there a specific explanation of why we have to act in that way? Thanks in advance.

What we're trying to do in that step is replace the local folder function with the SharePoint folder function. Power BI uses the API in M365 to "get" the files, so it connects very differently on the back end compared to the local file connector.

Hello Christine, Thank you very much for that video. Do you think using Sharepoint for a case, where a lot of XML Files are used for a Dashboard is a valid option? My datasource has at the moment 400000 rows, but in the long term this number will be 10 times as much. I do not need to have the data refreshed that much, only once every second month. Is sharepoint capable of handling that or should I look for alternatives. I really like the combine option here.

If you have more than a few fields in the XML files, it may be a bit of a struggle, yeah. If you have the option to put it in a real database I would definitely do that, but if not I'd at least put the initial data pull into a dataflow to make it less painful to work with in the desktop app.

This method breaks down when you are connecting to a Sharepoint site with many files, then the SharePoint Folder query takes a crazy long time. I've seen OData methods used as a workaround which is faster.

OData doesn’t have the built-in “combine” function though, does it? That’s the only time I’d use folder as a source.

@@bi-ome I believe that is correct. I think only the Sharepoint Folder connector will give you the binary column, which you can use to combine multiple similar files into one table. It's a frustrating limitation that Sharepoint Folder connection must start at the site root directory and then pulls in EVERY file and folder which then you can filter through. I wish there was a solution where you could drill down further before getting a response to limit the amount of incoming data early in the query.

@@somemuffins4u You could just put it in a site specifically for Power BI files and sources. If you haven't moved the files yet, there's no reason to put it in a massive existing site with a bunch of other stuff going on that I can think of.

A bit late here but I think I have resolved this issue. My site has thousands of files and I can’t control that. My fix is to use filters to find the files at the initial stage of rebuilding the navigation to find what you need, click one of the required files and let it build the sub tasks. Once that is done simply delete the filter stage, it will then add the Navigation step and you can continue as per the video. The original Query then didn’t clear its error until I update the filter there, then it was all OK.

Great video! However, I had to change the ApiVersion from 15 to 14, otherwise it returned an error at every refresh, although the error table was empty.

Strange! I've not seen that for this particular thing, but 15 does seem to have issues with field expansions sometimes to that makes sense.

We are starting to use the PowerBI service now and we need to update the sources of all the reports and dashboards that we previously had in our local server. Our SharePoint site is huge containing folders and files of the whole division and as you can imagine, when I tried this method it is taking ages to make a change on folders' path. Would you have a suggestion for this case?

If it’s slow, you could do the query in a dataflow and then connect to the dataflow in the report instead of the files directly. This front-loads the processing some. Or ask your SP admin for a site specifically for PBI and move the files there. I’m not sure if you are needing to combine files or not - if not, you could use one of the other connectors (e.g. the video linked in the description for changing a single file path which doesn’t “start” with all files in the site).

Other knowledgeable source state that you shouldn’t use the .Files function but rather use the .Contents function for performance.
