I was really interested to hear and subsequently read from others posting that they struggle with organising themselves in a structured way. I’m a civil engineer by trade and as a project manager it strikes me that’s exactly what you’re doing. You are managing a project from its start point through the work and to its end point. Your spreadsheet is a rudimentary programme but there are key items you’re missing out on by not creating a Gantt chart and including one of the most important elements of a project which is time. Seeing a list of deadlines on a timeline can certainly focus the mind but also chasing for info from others that will put you behind if it’s not received can be useful in a contractual situation especially if all sign up to the programme. I’m always amazed that industries seldom look to each other to solve certain problems that are second nature to others. Perhaps media composition is a little more relaxed, but it doesn’t sound like it from your explanations regarding deadlines, it also sounds quite cutthroat and litigious at times so if there are costly claims flying around yet, it’s a distinct possibility and adding project management and programme management skills to your HOD chops will be as necessary as being able to mix and master. You may even have some time left to compose 😉

Yes, I recently had my first composition gig working with an experienced artistic director managing multiple international teams to a scheduled opening, and I was amazed that he did not know what a Gantt chart is. There really are very good tools for managing projects at the scale described by Christian. Somebody ought to do a video about that in media production…

I come from such a background as well, @@PhilHansonTrumpet , and I'm glad @Christian did this video as I've been feeling ever more often how important being well organized becomes, particularly when needing to do without a team that coordinates "assets" as Christian dubbed it. Great stuff!

I use a program called Notion to manage each of my scoring projects. It includes a Gantt timeline chart at the top to see that I’m on track with each stage of the process, links and files for notes, tasks to remember to do, info regarding my folder structure, and more. Then the main focus of my scoring template is all of my cues in a database calculated out with a sum of how much music is going to be done and how much is left to finish. I love this workflow, it saves me so much time

After ur done with ur logic session, go to settings and go to clean up and hit that. It will delete all the unwanted data like alternate saved dates, etc, .. it will reduce the size alot

My tip for investigating the size of Logic projects is to right-click the file, do a "Show package contents" and then go hunting for the big files inside. It could be lots of Freeze files or Audio Files that are copied from somewhere. Once you see the big files you may then be able to figure out where in your workflow they are coming from.

I appreciate your walkthru. Always enlightening. I'm a creative graphic designer, photographer and video editor by trade, I understand that organization is key to success - as well as paying close attention to the feelings portrayed in the footage to telegraph the message better. Your experience does that. But having said that, it's like any other job with stresses, deadlines and expectations that need to be met. In other words, it's a job! I have written for many projects over the years but stopped because I am not interested in creating what others want. I decided to create for myself and I am fortunate to say that it's worked out better than I thought. Having said all that, you are a brilliant and kind person for sharing your knowledge and as such, I am happy to be a customer of both Spitfire Audio and Crow Hill.

Christian, I love your video content but after watching many of your videos, my favorite thing is that your voice is very comforting and you make me feel good about being an artist. In Logic Pro, choose File > Project Management > Clean Up. In the dialog that appears, select the checkboxes for the cleanup options you want to apply to the current project. Delete Unused Files: Files not used in any project alternative are deleted from the project, and removed from the Project Audio Browser.

Hi, I didnt read all the comments (cause you're way too popular now so there's too many) and maybe this has been answered. About the Logic File size... I think they want us to use "Alternatives" now. I never do "save as" cause that copies everything. I like doing "file/alternative/new alternative". Before I close a session, I also make sure to go in the audio bin, "select unused" and delete those files. After that, you still have to go in "File/ Project management/" and use the "Clean up" option there. I also think it's important, when you save your project for the very first time, to use "folder" and not "package" which causes all kind of problems when you want to manage/ edit audio files and maybe uncheck the "sampler audio data" and other "audio data" that your partners already have on their audio drives (and of course, movie files but I doubt that you cjhecked that). Thanks for sharing all the knowledge and doing so with such modesty, I learn a lot from you, you are a KZfaq gem! Cheers!

That's exactly what I was going to suggest, too, @Ian, and I've made it a regular routine with my project files, what you're suggesting! Yes, "rinse" unused audio files often to "unbloat" the project folder and also get rid of backups as soon as you've "locked in" a cue or session. In addition to that using naming conventions when bouncing to stems pretty much according to what Christian detailed here ( cue name plus cue code or number, augmented by a versioning system like e.g. [cue_name_cue_number_v0.0 | _v0.1 | _v0.2 | ...] By the way: I never allow blanks in the file names I use for one simple, but possibly critical reason: Should your macOS ever "roll over and die" for whatever reason or your startup drive no longer boot, you'll still get to access these files from the UNIX shell, if you needed to move your files to a different drive in order to save your work (and hand it in in time). By replacing blanks with underscores, it gets much easier to do a cross drive "grep" or other search in finding the local storage folder and then mass copy it to a new destination on a different volume. Yes, sounds terribly anal, but trust me, it's saved me a few times when SSDs weren't the norm yet. (and yes, there is a way in the shell to preface every blank with \, but can you imagine how quickly it adds in minutes when mass searching an entire project's folder for, say, all the recorded wavs from one such recording session with real players...? It may not sound like a big thing but I thanked myself everytime that the odd "disk error" would have me sweat bullets... So, I guess it's a blend of "old habits" and precaution...😇

Thanks for these insights. If possible, could you find a spot to discuss some of the deliverables agreed to in contemporary contracts? Just in general terms, not revealing anything from specific projects. Particularly formats for cues ect. What files, in which formats ect. Many things has changed after digitalization just the last decade, so it could be very useful.

Fo the large logic files, a way to reduce is it's probably all the project backups being saved. I set my logic prefs to only save the last Auto Backup. Could set it to last 3 if more comfortable but this will probably help reduce size so it's not saving 10 (as is its default). Size will probably still be over 1GB with large templates, but better than 7! Like others have said you can go into "Show package contents" and delete these backups manually as well.

You can see all the unused audio in a project by opening the files browser (hit F or use the button at the top right of the interface), select the 'Project' tab and then choose 'Select Unused' from the Edit menu that's inside the files area. From there you can delete the audio and then, in the main menu, go to File > Project Management > Clean Up. It'll let you delete the audio that you has been removed from the project. I guess Logic keeps it there otherwise for the sake of having undo steps available.

about the logic project file sizes : I also tend to safely duplicate my projects a lot, to save versions as they are, if need be. I discovered that, what was really taking a lot of space, are the project backups. I think logic saves 10 backups within one project file, of all your previous Saves. so once I duplicate a project, I "clean" it by removing the logic backup files

Hey Christian - So if you go into project settings - go to clean up and consolidate - this will instantly make the logic project file smaller! Since I also compose for a Tv series , I consistently have project files 10g on average which is ridiculous haha. This feature saved my HD and my life haha

I like using a single Logic file per cue, with project alternatives for cue iterations. This helps with the hard drive space issue since you're not duplicating the entire project every time you make a version update. And as others have said, use the project cleanup option - that should just removes unused clips from the Logic project, not from elsewhere on your hard disk.

Really interesting how tasks can be similar in completely different business areas. I was working in the automotive industry in sytem testing for many years. As others have already mentioned I also feel reminded of things I learned about project management. As you mentioned Drop Box might not serve you in the future as expected. I also use Drop Box but I only deal with tracks and albums. For me this is a great tool for file sharing and creating backups. Thinking of bigger projects with the need to create snapshots, checkpoints, baselines how ever you want to call it there are maybe alternatives. Might sound strange but you can look for tools that are being used in software development. There are tools for simple file version management up to complete product life cycle management. The terms that are used are Application Life Cycle Management (ALM) and Product Life Cycle Management (PLM). The ALM and PLM tools are very likely a complete overkill for your task but maybe there are smaller ones that fit your needs. Best of luck for your project

Apologies if mentioned before but i find project alternatives a good way to have lots of saves using the same pool of audio files. Also just migrated everything to Gdrive from DB as I wanted to have all better intergration with sheets, docs, audio etc going ok so far...

Wow this was eye-opening and very helpful. Thank you for sharing. Christian I'm wondering if you'd consider doing a brief video on how you use multis. For my current project scoring a small budget film I'm using a template with several Spitfire libraries. I love all the different articulations available. The best way for me so far is to just use a different track for each articulation. That quickly adds up. Thankfully in Logic it is possible to have tracks disabled which are not being used automatically or manually, to help conserve cpu or ram. I also stack tracks as either either summing stack or folder stack, as a way to keep it manageable. Finally I hide tracks at times to help with moving between my main active tracks quickly. I've never mastered using multis in my workflow but might consider it more it I could understand how you do it.

There is an app called Gemini II for mac which is great for finding duplicate files and letting you make informed decisions about which ones to delete. Saved me a lot of time and disk space Christian.

I should have specified that those cookie-cut cues would be the non-thematic ones, but those used for less important bits, and also those sort of "no man's land" moments. I have noticed this approach is very common in Korean dramas, whereas Europe, the UK, and the US seems to be more... "immune" to that, should I say?

great insight into the process, a lot of terminology which went over my head though - think I can guess what they all mean but maybe another video to explain the terms? - e.g. Lock? The Farm? the lab? sitting in at the dub? mini dub? stemming?

Lock: as in when picture is locked. That is when the editing of the episode has been finished, and so you have a “locked version” which won’t change anymore. The farm/lab, I believe this is just Christian fondly saying sending it to his colleagues who are working on it with him. For example sending it to his assistant, or orchestrator, or typesetter. dubbing stage/the dub, this is another common phrase for the mixing session, when they mix the episode and bring together sound effects and music together. Stemming: the composer will deliver his music in sections (called stems), so that there is more flexibility on the mixing stage. For example he might deliver for a cue, separate audio files for the Strings, Percussion, and Brass. Then during the mix they can just turn down the percussion if it’s causing issues, rather than turning down all the music.

About Dropbox : First of all, I don't think it"s a bad choice. I have been using it mostly with Ableton Live, but Logic being used on the side for midi editing, and haven't had any issues at all. I also tried OneDrive - it's probably fine for everything else, but don't go there with your DAW files. I can't remember how many times I couldn't save when on location (meaning not a direct/too slow internet connection), however that's exactly one of the features a Cloud Syncing platform has to provide. But of course that doesn't solve the problem of growing number & size of files you might facing. Have you considered looking at Splice ? I only have very limited experience with it, but it does support (some kind of) collaboration. I have no idea if it would cover the specific needs you have - but I can imagine they would listen very carefully if you would make some suggestions ;) BTW : it is kind of funny that in 2022 we still have to rely on common filenames to just share a project - I think it is about time DAW makers develop a true collaborative (multi-user) system. Lots of those in other kind of industries, but admittedly, this is not an easy problem domain , and we don't have the like of an Elon Musk (nor his budget) :)

Great video, thanks!, looking back at the cheesy sci-fi/fantasy series I loved, the scoring played a huge part, maybe more so than in a cop drama or sit-com. And I think if they had changed the intro music for Buffy, there would have been a nerd rebellion to end all nerd rebellions.

In my view it's better not to save a logic-project as one big package like you seem to do. This package has all the audio inside it, undos, backups etc. and duplicates everything whenever you save-as. I like to save in the old folder-way. There is an option for that, when you perform the first save of the project. Then you have your folder structure, have one folder for all the audio, for bounces etc. and as many logic-projects as you want, that all use the same audio-pool. This way you don't get this unmanageable big project-packages. So, in short: save as folder is the way to go.

Hi Christian, can you please make an episode about how you "did the impossible" and shared your sessions via dropbox or whatever? I just hired an assistant for the first time and am struggling to find a way to have her be useful without her just sitting at my personal computer--in my home while I do dishes or something. I'd love to be able to do more remotely. I use Pro Tools and so the iLok license makes it extra difficult. This is for an episodic animated show as well... spaghetti abounds.

Try Milanote instead of dropbox. It’s basically a visual moodboard/organizer but you can upload unlimited files. It has checklists, checkboxes, flow charts etc

Hi really lovely video, I am just getting started with Pro tools, I have worked in logic for years and I am looking to speed up my knowledge in pro tools to get Logic and Pro tools linked up. Could you possibly go into more detail about how you use protools ( for a beginner like me ! ) or maybe point me in the right direction. Someone mentioned the short period of silence. You mentioned that Dropbox is not an elegant solution. Sounds to me like an opportunity for Spitfire to create a better collaborative platform.

Should be a M-series MacPro out in June (rumoured). Run rings round that Intel one. Dropbox - yes clunky is a good description. Relocated the main folder on two Macs (local sync) to external SSDs' and had er, quite a few strange issues. Don't know what NAS drives are like these days but might be worth a look?

Have you ever considered a different project management platform? I think Monday could be an amazing alternative for the excel work you have here - you can have all of your collaborators and clients in there if you like, which just makes the process amazing - and it can look just as you have it in sheets

As far as saving on project sizes and project management, a lot of good (and accurate) things have already been suggested. (using alternatives for cue versions, thus not duplicating associated content like e.g. audio files, project management clean up etc.) P.S. I noticed that you placed "imaging" of each individual track within a summing stack at the center position of the 5.1. sphere and _only the summing stacks - generally representing orchestral sections - are being positioned directionally. Probably a time saver, too, as only stems get sent off for mixing and mastering, if I followed your other content correctly?

Hey yah Christian, I had an issue with my Mac Pro 2019 not shutting down. It turns out the issue was caused by a memory stick that went bad. I finally noticed the little warning icon next to the bad stick on the Memory tab of the About This Mac screen. I also had an issue where the machine wouldn't boot/reboot without crashing once during the pre-boot. This second issue was caused by an outdated device driver for an internal HighPoint PCIe RAID card. I had to request the updated driver from HighPoint in a support ticket, as for some reason they hadn't bothered to publish the latest drivers, and I only got them by asking. I updated to macOS Monterey right when it released, and thus had to wait a long time for some critical software updates. I hope all these breaking changes in macOS become a thing of the past soon.

This is off on a tangent, and I don't know if it's been mentioned before, but I've just been catching up on some recent episodes of the QI spin-off podcast 'No Such Thing As A Fish' and there was a name check for a certain Christian Henson (described as "the guy who wrote the theme tune for Two Pints of Lager and a Packet of Crisps"), which came about because they were discussing how to dry out a cricket pitch with a jet engine. It's an odd world sometimes.

So this might be a dumb question here but does anyone know what program he is using? I'm a musician and want to get into composition full time and need to learn project management. My best guess is that it's something like excel which I have been learning to use lately but not sure if it's that or Google sheets or something else entirely which is probably actually is with my luck. Any way, any suggestions on programs to use or project templates for music composers would greatly help me out too. Thanks!!!

Regarding working in the cloud: Dropbox is possibly the worst AND the most expensive of the bunch. You might try Google Drive. If you're all on Macs, iCloud could be a no-brainer. There's also the better long-term option of setting up your own cloud in the form of a custom built NAS server with a fast internet connection. A Ryzen 7 motherboard, an okay GPU, five or six of the new, fancy 18TB Toshiba hard drives in RAID with two additional M.2 drives for a big, fast cache and whatever NAS operating system works best for your use case, and you're of to the races

Can you explain the workflow of using playlists in protools to update the pro tools sessions as episodes are changed or added? Are you making new playlists for each track or is there another way to create a new playlist for the entire session. Hope that makes sense. Thanks.

Also, curious how you go about the diplomatic endeavor of explaining your concept of the musical arc of the show? When the showrunner asks for bigger and you want to give yourself musical headroom, how do you parse that?

At around 19 mins, as Christian was going through the mix bus stuff, I found myself muttering the words "Fuck... That..." And right now, I'm currently freezing and flattening tracks which is the most boring tech I will ever need to do for my own production purposes. I just could not step up to the pro level without bursting my brain.

Have you updated to Big Sur might that help? my Mac Pro 7.1 has yet to fail me.16 Core Model.All my plugin drivers etc are compatible running under Big Sur.BTW what percentage of your mega template do you use per production on average in your instrumentation?

I would love to know how you deal with rejected cues or cues that need fixing. Do you give them the same name and send back? or is there a new file name for fixes? How do you deal with this on a session level? Do the new versions get a new session version so you can go back the old one if need be?

Once your actually in a new workflow (Geee...ATMOS for music !) something else invariably( wow you can do that ? what about this ahh..short film ! ) it's too late to do anything about file sizes .Find out what the top of the chain is doing before production starts. If your flying solo scale to budget is all u can do

Just a suggestion because logic is absolutely terrible to use in collaborative work flow and it has too many small but can causing huge pain in the bottom bugs. Why not just use protools for every thing from writing to collaboration with other artitsts? I am very new to most of the things said in this video. But protools is more friendly I guess for multiple users in a single project.
