How to Export filtered data to Excel from Power BI button using Power Automate?

Welcome to Power BI and Power Automate Real Life Use Case and Scenario Series. You are watching the third episode of this series. Sometimes, there is a need where we need to export filtered datasets from Power BI using the button. Then how can we do that? How we can export Filtered Dataset from Power BI to Excel using Power Automate. We will learn how we can export data to Excel from Power BI Button.
In my earlier episode, I explained, how to export data in CSV format. But I received lots of comments to export the data in an Excel file. Every time, when user clicks on the button, a new Excel file should be generated and it should be sent as an email attachment.
We will use the concept of Power Automate Visual with Power BI. We will pass filter context from Power BI to MS Flow and then Create a Excel file to the OneDrive Location or send the exported data as an Email attachment. Stay tuned throughout the entire video for more information!

Thanks bro, this helped a lot. Do you know of a way on how to save the visuals into different sheets inside same Excel Workbook? I have different visuals in my report which I want to export to excel and send email as 1 workbook instead of many different single excel files

Hi, Thank you very much. I'm looking for this solution since a lot of time. To complete I had a section : Delete file after the second step and now I can update when I want the same file and share the link to this file with my users. (Now I need to find a solution to parameters columns in Excel (for exemple value in euro for one column) but it is ok perfect

Greate example I followed one of your other videos and it worked out great I tried the export to excel but I get incomplete data empty colums the email is even worse almost no data

Hi .. Excellent video :) - can it filter out only lines from the table that are with dates from the current month and past month. - and and more.. if I have list of customers that it filters out data from each customer and makes a file for each and sends it customer data to each one only with data value for him.

This was helpful. One question though. Is it ok to just add the data to the template we created, send the email and then delete the rows again? This way I dont have to use create file actions. Will this impact multiple users exporting data at the same time?

Good video brother. When the flow is executed by another user in the PBI, it returns an error until the flow is shared with said user in Power Automate. How can it be solved so that any user can run it?

Great video !!!, thank you for sharing. I was able to build one using sharepoint instead of OneDrive. I am also using a shared emailbox instead. One quick question, is there a way to schedule the same flow instead of being triggered by a click?.

Hello, Thank you for the details step by step explanation but the export is really taking too long! I believe "adding records one by one" to excel is taking time! Basically, I tested the flow on 300 records with 10 columns. The flow is running for more than 30 minutes now. Am I doing anything wrong? Thanks

This was very helpful. There was one thing I missed. I never saw how to filter the row data being appended in. What if you had 10 categories but wanted to filter for just one? Do you have a video for that? Thanks again!

Hi Dhruvin, Excellent Video, Way you explained the flow which help me to replicate the scenario I want to do. I had one failure Create table failure. I had introduced a Delay of 10 minutes after Create file, still having the issue. Message in Output is Item not found. Can you guide me.

I have one more requirement along with this, I need to put all excel information in the body of the mail along with the attachment. and my columns are sales data like a quarter, day, sellout, and inventory ... I would need to show a grant total of sellout and inventory as total in the last raw of excel attachment and in the body of the mail. please help.

Did you find a way to export more than 1k records? It takes more than 15 minutes for 200 and above records. So is there any way to improve performance?

thank you. i have implemented steps as mentioned in your video. Do I required to give access to each user in automate flow as a owner? IF not how I can implement this ? If i don't provide access It says unusual error when they try to access the report , If i added them into owners group then they can export the data. But it is not feasible to provide owner access on the flow to 200+ users...Any help will be appreciated.

It's sending Excel attachment in Email as well. It's clicked from custom button.

If you use Paginated report for table to be downloaded, it can be automated.
