How to Restrict Editing in Microsoft Word

This tutorial explains how to restrict editing in Microsoft Word. Specifically, we will (1) limit edits to comments only, (2) prevent users from making untracked changes, (3) allow users to fill in forms without making additional changes, and (4) mark the entire document as Read Only for specific users.
This video was filmed in Word 2016. However, the steps are the same in Word 2019 and Word for Microsoft 365 (formerly Office 365) and are similar in Word 2013 and Word 2010.

For anyone who couldn't find this info on how to remove the square brackets on a restricted (final) document, SIMPLY UNRESTRICT. I looked for nearly 30 minutes to find this...there I saved you at least 29.

Thank you for your video. I followed your instructions for restricting editing on a fillable form that I created, however when I email the document to someone, they get prompted at the top of their screen to edit the document even if it is password protected. I only want them to fill the form out, not make changes to it. Please help. Thank you.

Thank you for watching my video. If you selected "Filling in forms" in the Restrict Editing task pane, the password-protected restrictions should hold. However, glitches in the software do occur. I'm afraid I don't have any suggestions, so you may want to report the issue to Microsoft. Best of luck!

That is a great question! Unfortunately, I am currently unaware of a way to apply of these restrictions to multiple files at once. I will definitely post something if I find a solution.

I've cropped some images in ms word but when I choose crop option it shows the full image which is before than crop how to hide that things

Thank you for watching! After you crop the image as necessary, reselect the Crop button to turn it off. You should then only see the cropped version of the picture. Best of luck!

When I select restrict editing on MW 2010 it's blank I cannot select anything on fornat restrictiks or editing restrictions

Thank you for watching! I am sorry to hear that you are having trouble. Unfortunately, I can't determine the source of your issue. Microsoft no longer supports Word 2010, so if possible, you may want to consider updating your software if you are trying to restrict your file for security reasons.

I have a question I just want to block the wording from being erased but still sign signatures or write on the parts that I don't want blocked how would I go about that?

That is a great question! In the Restrict Editing pane, select "Allow only this type of editing in the document" to reveal the Exceptions option. Then, select the part of the text you want to be editable and then select "Everyone." You will see a bracket places around the selected text.

Hi, Domen. Thank you for watching my video. Unfortunately, I'm not aware of a secure way to prevent copying within Word. You can save your file as an image (e.g., JPG); however, that's not really secure because there are many apps that can copy text from images. Best of luck!

I wanted to ask u - When we save doc file by restricting mode then if i convert that into pdf Then if i open that pdf with ms word and enable pdf to convert in word format the restriction does not works Plz can u tell me how to fix it ? Plz

Thank you for watching my video. From what I understand, you are converting a Word file to a PDF and then reconverting it back to a Word file, is that correct? If so, it becomes a new file with each conversion, so you will have to manually reset the restricts each time. Best of luck!

@@erinwrightwriting yes u r correct my frnd I just did this bcoz i wanted to try if someone can edit the file by changing its format or not And it gets changed sadly and in that file everything is open again. Can u please tell me that once i restrict, it should not be open at any cost Plz help me

@@Akshay0909 Sadly, I am not aware of a way to restrict any document 100 percent. However, I would suggest doing the restriction in Word and then doing a second restriction on the PDF conversion in Adobe Acrobat. If you look at my Adobe Acrobat playlist on my channel, I have a tutorial on restricting PDFs. (I would just send you the link, but I am on my phone right now instead of my laptop. )
