If you are a business owner of a rental business where you rent equipment or assets to your customers, you will find this template handy in tracking inventory.

This Excel inventory template can help you know how many items are in stock and how many have been rented out. In addition to knowing the current inventory, you can also determine the expected inventory in future based on future dated rental orders/contracts.
Use this free template to get organized and be in control of your rental inventory. You can use this template for any rental business, be it renting furniture to parties, or renting wedding items to weddings, or even lending books in a library.
Overview of Steps
Enter Assets and # of items in Assets sheet
To enter a rental contract order, enter the order details in Orders sheet
Check availability in Orders sheet before committing to the order (max 90 days window)
To see current availability of assets, view Assets sheet
To view at any time availability over a month, use Calendar sheet
By default, the Calendar sheet shows 25 assets. It’s easy to extend Calendar for more days and more assets. To unprotect Calendar sheet, use password: indzara. Then, just expand the table to more rows to include more assets.

Thank you very much for this video and the template. I am trying to add some more data in the "ASSETS" table, I would like to add 3 more column to the left of column A. When I do this the "Check Availability" stops working, is there a way I can add more data and still use the "check availability" function? Thank you, Aaron.

This is amazing, thank you very much!!!! only one question and I assume you have probably already answered this; how can I allow the quantity within my orders tab to change the rented out quantity within the assets tab?

Thank you for sharing your valuable feedback and you are welcome. If an item is rented out today (current day is dynamically taken) and return date is today or after today in order tab, that item will show as rented out in asset tab. You can enter a date in cell H3 on the asset tab to check the rented out status of that date. Best wishes.

Hello, thank you for the template. I am having a little trouble with the calendar. It automatically filled in my inventory count for my first asset entered but after added the rest of my assets they did not fill in the counts on the calendar. Any help is appreciated!

For example if you get 4 drillers from a vendor, you will enter -4 in order quantity. If you rent out a product to a customer, you will enter 4 as order quantity. Best wishes.

Hello - this is an amazing template for tracking and exactly what I've been looking for! Thank you for all your help and setting this up! I was curious as to whether or not you have a version that can also function in Google Sheets? I'm trying to set up a tracker like this but needs to be accessible in Google Drive to other team members. Any wisdom for converting the formulas?

I am currently trying this sheet to track our skip hire but I have a problem. I have 8 Yard Skips (14 of them), which are all being hired out. I currently have none in stock at all, for some reason the calendar I says I have 4 available. I went through all 14 orders on the sheet and they are all correct. Return dates some are today, some are tomorrow, but it doesn't amount to 4 skips being in stock. I did not have 4 skips in stocks yesterday and I do not have them today either, I don't understand where this is coming from? Any ideas?

As we mentioned in Email, there where total of 14 orders for 8 Yard Skips but some of them returned on 13-Apr-2022 and 14-Apr-2022 and some are rented out after 15th. Hello, I'm entering in my orders on the Orders Sheet, and from line 17 and on in the 'Quantity column', the cell will not let me enter in any numbers at all. Also, when I check to see what's been rented out on any of my 'Months Sheets,' only some of my entered items are showing up in green and or red from row 8 to 45. It seems as though when I added extra rows below row 45, that these are the rows that aren't displaying these totals. They're also showing up banded and will all borders from row 45 and up.

We are unable to replicate the highlighted issue in our end, hence requesting to share your sheet to support@indzara.com with some screenshot highlighting your concern to check further. You can also try moving your data to a fresh copy of the template but ensure you paste your data as values (CTRL+ALT+v -> Values) inside the table. Best wishes.

In my business, I rent construction tools and this video is very helpfull to me. However, most of the times, my clients don't return all the stock that they order at once, and I want to keep charging for the remaining items. Can you help me with that?

Thanks for your feedback. Currently the rental dates are at the order level. So, all the items in the order will inherit the same start and end dates of rental. We need to create a separate order if the return dates are different. Something I will consider for future enhancements. Thanks. Best wishes.

Awesome! I think this is the closest I have found to fitting my needs. One question though... I am renting laptops, chargers, headphones, keyboards and mice out to students daily. Is it possible to just have check out date and then when they return, the check-in date would be updated? I have barcodes on everything and every student has a Student ID they will be scanning with my barcode scanner. I guess I should ask if it is also possible to use this with a barcode scanner?? I've in put August 1, 2018 in my starting date of the calendar and it will not show August 1st.
