In this video, "Virtual Assistant Training: Inbox Management," you'll learn how to create an inbox management system that works for both you and your clients.
I think inbox management is one of the hardest tasks as a virtual assistant, and that’s because each inbox is as unique as each client themselves. Everyone has different workflows and expectations when it comes to email and unless your client is completely hands-off and lets you take their inbox over free reign...it can be challenging to create a system that works for you both. Having said that, there are ways to help make this particular task easier.

Hi! There’s no universal answer here as clients may use a variety of email platforms. Same with tools - email management can be as simple as ensuring your clients inboxes are clean - or as complicated as using tools like Streak (which turns your inbox into a CRM). I recommend seeing what your client is using first before you explore other tools.

Thank you for your video! I was looking for a how-to execute an inbox decluttering with a client rather than how Gmail works. There's one small adjustment though, Gmail is slightly different from other email clients (eg Outlook). It doesn't have folders, only labels. When the user arrives in their inbox they see all the emails that have the label "inbox" on them. When it's removed the email goes into the archive.

Hi Erin, Im trying to move all emails from a certain individual to a label (folder) like as at 7.35 but when I do an advanced search to select all emails pertaining to that individual my "move to" turns into "move to inbox". how do I fix this without having to individually select all emails. thanks

Highlight all the emails from a specific person, click, and drag the emails to your specific folder.

Ask your client if they are ok with you skimming (reading quickly) for context. If they say yes, you can read the emails, and label them, and then mark them as “unread.” If they’re not ok with you reading emails, you’ll need to guess as best you can by the email titles.

I recommend that you get on the phone with them for 15 min and ask them the questions about their inbox. You're right - they ARE too busy to fill out paperwork like this. Better to do a quick chat and knock it out.

Talk to your client about it. Typically they’ll say “delete newsletters or junk emails and archive old emails I’ve already read.” They’ll tell you.

Great question! You can ask your client to grant you access on virtually any system nowadays. I recommend googling their specific email provider for the steps.

Hi! I use outlook rarely and only with clients who use it. I recommend reaching out to outlooks support team - they’re super responsive! Anytime I have a specific question about IMAP, I go right to them
