WordPress Media Library Folders with FileBird and MediaMatic.

If there's one thing that frustrates me more than anything when working with WordPress and the uploaded media in the media library is how it lacks any structure tools.

I'm going to check this out! I have several sites that have oodles of media and it's a SERIOUS pain to have to wait to for the scroll to load, especially when the tasks are repetitive such as updating a schema plugin.

Sometimes after watching a video I think, 'I m so glad I watched that video'. This fantastic video gave me that thought. Excellent introductory comments and great review of these plugins. I can't thank you enough. So glad to hear about the virtual folders. I have websites with a gigantic number of images and one for a camera club with 70 users going back 8 years. None of them thinks about adding their names to their images. Now they will all go into virtual folders in future. This will also help sort the problem about how to move away from Divi on another website, which I have been absolutely dreading. Just had to Subscribe!

I found one workaround that only requires one plugin (which can be discarded when you are done). Upload your folders/files via FTP, into your designated files path in Wordpress. Keep the folder structure just the way you want it, with subfolders, etc. Then use the plugin "Add From Server" to import the files into your Media Library. You will have to do this one folder at a time, as this plugin does not handle subfolders. There is one caveat. If you only import one file with "Add from Server", it will copy it to the default files directory. But if you import more than one file, it will leave them in their folders, just where you put them, but will create entries in Media Library with links to those files. The other thing you have to do, if you go this route, is to categorize or attach your files while you are importing them. So you would import a folder, then go to the Media Library and filter them out, then categorize them or attach them to a post/page. You want to make sure there is a way to separate them from the rest, before you import too many, otherwise it will be impossible to sort through them all. The other alternative, is the "Wordpress Media Library Folders" plugin from maxfactory. It is not a virtual folder structure, but mirrors the folder structure you have set up, and can create/remove folders and move files around. This can apparently import files that were uploaded via FTP: "Click the Check for new folders option in the Media Library Folders submenu in the WordPress Dashboard." Apparently this plugin can also handle moving files that are linked to posts/pages: "To rename or move a folder, one needs to create a new folder and move the files from the old folder to the new. During the move process, Media Library Folders will scan the sites standard posts and pages for any links matching the old address of the images or files and update them to the new address." For my needs, I don't think "virtual folders" will work. I have thousands of images collected from about 300 scanned books. They are all Bible pictures so there will be many of them on the same theme/event, with possibly the same filename. I can't dump them all into one big folder and then use virtual folders to sort them, as there will be filename conflicts. The best choice is to keep them separated into folders based on the book they came from. For that, I either need to use the process I outlined first, or use the Media Library Folders plugin to handle them.

Excellent video. What still is awkward is WP storing the images by year and month. Makes sense for a blog but not for a normal site. After any fresh install of WP this is the first thing I switch off (Settings / Media)

Thanks Paul, very helpful description of the backend functionality. I also want to know how what you described could enable some front-end functionality for visitors to my WP website. Ideally, I would like them to be able to enter some characters into a search window and generate search results that include BOTH website content and media library content, all in one search result. So if I did a blog post about having just updated my resume, but also had a PDF of my resume in my website's media library, the search entry "resume" would include two search results, one for each. I use generate press as my theme and elementor pro as my main plugin, so I need something that is compatible with both. Thanks again!

Great guide to a neglected enclave of WordPress. As you say, once you get a lot of images the Media Library it's a hassle to look through. I also find Gutenberg a pain to use - who has time to learn all that? Keep up the good work ;-)

Thanks Paul. You asked if we found another similar plugin for organizing media files. You might want to look at "Folders - Unlimited Folders to Organize Media...". It's very much the same as the two you review. One glitch I found is that if you are editing on an image already within a post (click image, choose pencil icon, click Edit in the popup), the left sidebar space where their file structure would normally display is unresponsive. If you try to crop the image the crop button is unresponsive. Looks like a template overlay problem. Anyhow, thanks for the additional suggestions.

Thanks - very useful plugins. And you rightly stressed that they do not alter or delete the original files or structure. I think some similar plugins do? It is great that you can just drag a whole folder from the computer and it adds the folder too - not just the images. To my mind, the relatively small cost of Filebird Pro is worth it.

I have been using WP Media Category Management (wordpress.org/plugins/wp-media-category-management/). It takes a different approach. It uses tags. You create your own tags. You can set (and change) a default tag for assignment to images on upload. You can assign multiple tags to an image. For example, an image can be tagged as "photo", "ad", and "product". The library display allows selecting which images to display, based on their tags.

Wow, thanks (I think) for reminding me. I have a license for the JoomUnited package of Wordpress plugins so I did a quick test of their WP Media folder plugin that does what is described by this video. Complete failure for what it's supposed to do. The issue is after creating two folders and copying selected and different images to each it appeared to work until I went to view each folder and found that each was displaying the contents of both folder (i.e Folder1 was showing the files from Folder1 and Folder2 and vice versa). Also note this is a paid plugin that did some very nice system check for PHP version etc that my system passed. Sigh... BTW, I'm used to working with failed plugins and offering my services as a free QA/System debugger but in this case I don't have the time. Off to try FileBird.

Trying to find a plugin that will allow me dynamically select a set of images then change image's name, title and actual filename .... any suggestions? Media Library Assistant says it can do it, and although one forum post does mention bulk actions. I couldn't get close to making it work. Thx in Advance. Love the video work you're doing.

I use Folders by Premio, and it's been terrific. The free version handles 10 folders, and the Basic ($25/1 site), Pro ($59/5 sites), or Agency ($99-$250/50-1000 sites) are unlimited and support sub-folders. Like many plugins, the licenses are perpetual, but support & updates require a renewal fee. The plugin is recognized throughout WordPress, and acts like it's a native feature. So far (2 months), not a single bug or glitch.

Thnx!! Glad you mentioned it's possible to deactivate/activate and the labels remain! I found your video while trying to answer this question though: how best to organize the media content...? Any thoughts on method of organizing it? ( I'm thinking by shape/location on the site might be best, like "Headers" or Featured Images, etc. )

Sorry for the late reply Connie. To be honest, I think it really comes down to the type of content you create on your website and how much you will ultimately end up producing long term. I don't think there's a one size fits all solution. However, any structure has to be better than the default method of lumping it all into one folder / location. Great for a handful of files; a nightmare when you have hundreds or thousands.

When you are in "Edit Media" page, there is an 'Edit" button beside the permalink...I don't have it. Any idea why? I had all my images created with month and date, i turned off the setting, but now I want to edit the permalinks of all my images (if possible in bulk) without having to delete and re-upload. Please help. Thanks.

VERY IMPORTANT QUESTION (for me, anyway!): I was thinking about “WordPress Media Library Folders," but apparently when you put a file in a folder, the URL gets changed, and so the link is broken. You have to go and re-establish all the links. Yikes! Am I correct in thinking that is not the case with these two plugins? Because they create virtual folders?

I have used WP Real Media Library in the past for one site. Today I was looking for a medai manager again... I set up Media Library Assistant which works natively with Wordpress using categories and sub categories instead of folders... Struggling to find a way to add multiple images at one time to a category.

We always use a plugin to organize our media. One of the main reasons, some of them like Media_Manager let you replace images! It means you don't have to find all pages where they are displayed but just change them at one place.

@@WPTuts We use www.joomunited.com/wordpress-products/wp-media-folder and used WordPress Real Media Library (Envato) in the past. Things to checkout is also the integration with Image optimisers. Sometimes the combination makes uploads slow. On large libs the virtual folders are not cached and sometimes take long to load. Quick test with small libs almost always work. Real life is a bit different.

As of Dec 2022, it says This plugin has been closed as of December 12, 2022 and is not available for download. This closure is temporary, pending a full review. However, i noticed that Folders by Premio is getting very good ratings. Never tried any of the options presented.

I had a look through but does this organisation show when you are trying to add images to galleries on pages using elementor or something similar? I struggle picking out the right ones for a new post or to add to a general gallery page.

Another important things I found before while I was testing server configuration and testing WordPress stack performance, was that when I deleted an image from library it actually still was in database. I could see them in upload folders(through SFTP or Cpanel)... I asked this question from many groups in some social media but no one answered me. And this is really bad, as even you delete files and media they are still in database and that causes having a heavy database. If I'm wrong tell me please? And if I'm right tell me what is the solution???

Thanks for the headsup. I'm using Filebird with the 10 folder limitation. I cannot afford the pro version. I get a pension grant from the government so I design WordPress websites to fill in my grant of $100 per month. This is the equivalent of our currency in South African Rand. In Susan's words....."I agree with you Paul. WP should improve the Media Library." On the trot.....can I use both at the same time then perhaps I will get 20 folders?? Just trying to push my luck, (Shrug shoulders)

Great video, thanks. The one thing I wanted to know is how many folders and sub folders the free versions allow. What does about 10 mean? Did not answer my question. When it's 10 folders does it mean the total number of folders allowed is 10, ie can I have 7 main folders with only 3 sub folders?

Yes, that would be a total number of folders (sub or otherwise). I'd have to double-check to see if it was 10 with this particular plugin. But I'd suggest taking a look at HappyFolders which offers a lifetime deal for around $20 for unlimited sites.

Mediamatic doesn't seem to exist any more and I can not try Filebird without the Pro version. So this video has become obsolete.

4 Years later and WordPress still lacks media folder management 😢 Last night I installed Real Media Manager and Real Physical Media. I didn't really like the virtual folders and wanted something that would create actual folders the way I would on an HTML site. So far though I'm finding it a little confusing to use. If anybody is familiar with those plugins and knows of a tutorial I'd love to be referred to that Thanks!

The thing that annoys me about the media library is the way it only shows square images. Every site I've built uses 2:3 images for ecommerce product images and being forced to view them in the media library as cropped square images is very annoying.

I have just paid for Filebird and couldn't be more disappointed. After creating around 10 folders the thing hangs and doesn't display any images. As you said you had some minor issues I decided to initially go with Mediamatic, but when I found their payment site was unsecure (not https) I changed my mind and bought Filebird. A very bad decision. I suggest you give it a more thorough test, and if you find any issues edit this video to incorporate them.

@@paulmetcalfe6855 I bought Mediamatic - Media Library Folders (PRO) which was not bad for $19. But after setting up the folders and images I have no idea how to take my images to put into my website. Nothing I try works using it with the Divi Theme Builder which this is supposed to be compatible with. They do videos on things like this one for the super easy stuff but do not go thru the whole process.

@@karieroper3130 Sorry i can't help. I managed to get Filebird working it just has a bit of an error somewhere in its code which makes the files disappear but a quick scroll down with the mouse fixes it. So all well now and works well.

Mediamatic had cloned the earlier version 2.9 of FileBird that's why it was closed on Envato. The latest version of FileBird (4.0.x) is now working magic and there are no minor issues compared to the older versions. Cheers!

This gives me no idea on how I could use these plugins to access files on a WordPress front page, but not surprised -- I'm not finding any tutorials on how to do this, even the plugin coders don't show how to use/display on a WordPress page.

He did mention that there is a certain number (10 or 12) of folders each has for the free version. Unlimited for Pro.

Here's a question, A site with front-end uploading, example a Car Dealer site with MAKES & MODELS, and the site has custom Post Types & Taxonomies. How to have the images when uploaded via front-end automatically go into the created folders like: MERCEDES, BMW, AUDI, PORSCHE ETC…. ?

To be honest Jason, I tend to use the option to upload the images to the post in ACF. This means I don't have to wade through the entire media library when editing an ACF CPT. The downside is that the files are not available directly inside the media library. If this isn't an issue (which it probably wouldn't be if you only use those files with your custom post).

The plugin WP Media Library by Joomunited actually has integrated in their pro version the option to create galleries from files and folders which actually automates all that you are asking about. You just use your taxonomies, classes, categories, or ACF criteria. I have been tasked with creating hundreds of galleries and having the ability to automate a little and also incorporate dynamic fields has been extremely helpful.

Oh, you didn't show us how these new folders created using the interface of these two plugins, appear when one wants to add Media files in one's site! I installed another plugin called " Media Libray Folder" and created folders for my images. I then wanted to create a Photo Gallery using Envira. My folders did not appear there. Unless I pay for the Pro version of "Media Library Folder" plugin, I won't be able to use the folders I created using this plugin anywhere in the site! Amazing! Isn't it! I bet this is the same for the two plugins you demonstarted in this video, i.e. pay for the Pro version or you shiny new folders would be useless!

I've just taken a quick look at it and it seems OK. My only complaint would be that it creates its own entry and not enhance the existing Media tools in WordPress.

A little bit late in my answer but, the main difference between the media library and the two presented here is that the media library creates "physical" folders instead of "virtual" folders. Therefore, because most images and files in the media library have corresponding links embedded in site’s posts and pages, Media Library Folders does not allow folders to be rename or moved in order to prevent breaking these links

You're so F...ing righ ! the tool used by 30% of all websites can only manage a handfull of images ... Personnaly I need to manage thousands of files, so sub-folders is an absolute necessity (03:15), I just bined FileBird and now trying Media Library Folders (aka ML+ I think).

A slider made me 400 copies of pictures i was like wtf do i do now. . I deleted everything recreated the animations with no mistakes still made 40 copies. . This is the reason now i am on this video. . 3 years old video and it's still sh*t no system at all. . Everything is plugins. . .
