It sounds like you're looking more for a reporting tool. Are you using something like Stripe? Profitwell and others should be able to give you that type of information if so.

I signed up for Motion as a result of watching this video. I do have a question or two, though - now that I've taken the plunge. I hope you don't mind! Can you talk a little bit more about how you decide what to use as workspaces, especially if you are using Motion to manage projects that are related to several different areas of your life? Also, can you talk a bit more about how to decide whether or not something is a Project (with a bunch of tasks) vs. a Task (with a checklist for all the subtasks)? For instance, is each video that you produce for your channel its own Project? Or I suppose another possibility would be to have a Task that's "Produce this video..." and then simply move it through different statuses to represent what has to be done for that video (with statuses like "write script", or "record video", or "needs editing", etc.) Thanks for your thoughts and help with this! Btw - I did reach out to Motion to try to get them to activate Flows for me...but they weren't able to for some reason, so I guess I'm going to have to wait until they officially release it.

Oh, no we don’t use it really (only when Instagram asks if we want to also publish to our Facebook page we say yes). The reason is because our audience isn’t on there! But Buffer and all the other platforms work with Meta too!

So probably not going to do a video on this, that said, we used OBS, but Steamlabs OBS is definitely a bit more user-friendly with initial setup. @@efficientapp i use mac air m1 , so just small monitor, but use arc, it takes up the entire mac frame, so i quit it :) i think it's suitable with large monitor

Wait, really? I use a Mac Air M2 and I just press CMD + S to show/hide the sidebar depending on if I want more horizontal screen real estate or not. While not docked I typically just leave the sidebar on the hidden hover mode though which gives me full screen real estate and even more vertical real estate since I don't have tabs and bookmarks below them. Have you tried that?

Is there a way to move tasks between Workspaces? If I create something in My Tasks on the fly and then realize it should be in a different workspace, I can't seem to change that.

Yep, easy one! Click on the task and in the top-right corner of the task you can change the workspace and the project (if you want it in a project). You can definitely change it after creating it though 💯

Watching the reply. I gotta figure out how to get notified so I can watch live next time. RE: The comment on the task backlog, I found that the solution is always prioritization. So, creating a limit to how many high, med priorites is how I have made my clients do this. I lead recruiting teams. And what I tell each leader in the company is that they can only have 10% of their reqs be High Priority. And 20% of their reqs MUST be low priority. You could do this will all your tasks. And in the notes track a mini change log. So, if you keep moving something to high priority and not doing it, then have a come-to-jesus chat with yourself. By doing this, what shows on your calendar should only be High value tasks. This is similar to Michael Linenberger's MYN (Manage your now). He limits NOW as 5 tasks max (What would you stay late to accomplish. Next (Opportunity Now) limits to 20 items. Everything else lives in Over-the-horizon (Backlog, etc.). Ivy Lee's method is similar. Pick 6 things and work to completion. The Today System allocates an inverted point system. Hope this helps.

It's so refreshing to see a non-affiliated, honest review. I work for a high volume real estate team and I really need something that allows me to post to multiple Facebook pages, our Google Business page, IG, Tiktok, KZfaq ect, while holding the format I created the media with. Maybe something that allows you to post to multiple platforms but individually edit cropping & captions. Also, something with a reliable central inbox that pulls in comments, mentions, DMs, reviews and Marketplace messages. A girl can dream...

In terms of what you're looking for, Buffer would be the best if you're okay to compromise on it missing some formatting features (IG, Tiktok, Meta, YT). Although don't think they have Google Business. Buffer does also have a central inbox for comments, mentions, etc (maybe not reviews and market place). It might do 80% of what you need, which might be enough to make you more efficient but then you'll need to supplement for where there are limitations! Do you think you'll give it a shot?

All I'd say is that spark email does pretty much the exact same thing as superhuman (its fast, its clean, allows split, has ai, keyboard shortcuts, snoozing, swipe actions, marking as done and can gatekeep your emails) but for a hell of a lot less money per month (effectively 5 a month vs 30)

We've found them to be quite different in more specific ways. Spark is good for individuals, but when truly working with a team, Superhuman is a better experience. We actually did a full comparison on our site here: efficient.app/compare/superhuman-vs-spark If the cost is a major concern though then I get it. That said, for a business to justify the extra $25/mo is a no-brainer in the time savings in our experience.

Can you integrate asana and motion? I like asanas structure for all that needs to be done for different departments, companies, personal to do lists etc and would like to integrate it with motions calendar and ai scheduling

Also not sure if you’d know this but would Asana integrate with a crm like RepCard? We use it for door to door sales and I think it would be really beneficial to capture all the leads generated in RepCard to Asana for visibility and tracking purposes. Thanks for the help!

So you could integrate Asana and Motion using Zapier, although we'd recommend switching to Motion versus trying to integrate the two (you'll get a way better experience). We actually used Asana for 6 years before switching to Motion and they now have a full import from Asana functionality. Same thing with the CRM recommendation, so long as you're using a CRM that has an API and Zapier integration for example. Haven't heard of RepCard, but any of the CRMs we mention in our CRM comparison video have an API and would allow you to integrate with Motion technically: efficient.yt/crm

We tried it for a bit and it felt somewhat kludgy, so we didn't stick with it. Don't 100% remember what the reason for getting rid of it was at the time (this video was shot 6 months ago), but we definitely tried it and decided to not even include it in the video. Just didn't work well for us.

Hey hey! So funny enough, we still recommend the exact same thing as in the video. Copper still has projects (don't use), but you can use opportunities (now Pipelines) to create processes, that's totally fine! (Maybe they've disabled the old projects now for new accounts), either way, new pipelines area, yes, definitely go ahead using it to manage a job process 👌 Appreciate the nice comment-Here to help if anything else comes up!

We don't really review enterprise software much at the moment. Microsoft Dynamics 365 is an incredibly dated CRM that companies are typically using because they've been using it for a decade prior. If you're a newer company considering CRM solutions or a team of less than thousands of employees, no, you shouldn't be using Microsoft Dynamics 365, there are far better options available on the market and there's very little that D365 has going for it. Not all that fun covering a tool like that as we'd simply never recommend it for a team to use.

Not sure why you'd say you "deeply vetted Clickup" in the intro when two minutes later you said you didn't even try it out and then slapped in some random Reddit criticisms which you could find for any of these tools. I'm not even a Clickup user - still researching tools - but it's weird because when I google "x vs y" most Reddit comments I see that mention Clickup are favorable to it so that segment felt odd. Even though this vid feels like a paid ad for Motion it did lead me to give Motion a try despite the short 7-day trial and hefty price tag (if it's really so great I assume the $ is worth it). Immediately got an error when connecting my Google Calendar. Then went to their support page, clicked Troubleshooting, and got another error. They might want to reallocate some of that marketing money to QA!

If you go to the ClickUp review on our site, you'll get more context: efficient.app/apps/clickup Interesting to hear that it feels like a paid ad because we're recommending a tool over its counterparts for good reason. Can't speak to the errors you've gotten though, maybe write to support? I have 3 calendars connected no problem, but yeah that's not super ideal for that to be your initial experience. Maybe it's due to an ad block or something in your browser? I always disable ad blocking services when first signing up to new tools just in-case. How has it worked for you? Have you had a chance to try it out? Or did you just delete your account after hitting that bug?

Have you guys tried Shortwave? It also has these team collaboration features (on the Business plan for teams), but they don't seem to market that aspect of it very well. I started using it last week as I was looking for a Superhuman competitor and to my surprise, I like Shortwave better. I found their AI to be better (and faster). It has all the keyboard shortcuts (a must have for me) and bundles (I loooove bundles), and I personally like the Shortwave interface better. Would love to see you guys do a comparison!

I actually used Shortwave for 6 months or so after being an avid Inbox user (saddened when Google killed it off). And it's decent, but in recent times of trying it, I just haven't been super impressed. It just feels a bit less modern and had been a bit kludgy at times at least on mobile. Can understand the appeal of it though for sure. Surprised you like it better than Superhuman though! Splits function as bundles in Superhuman, and have also been quite impressed with the AI search + summaries, haven't felt it being slow at all. Might look into comparing in the future, will add it to the list, just wasn't the most impressed with it last I personally evaluated it is all.

Thank you for this video. Great content. I am the responsible for the tool we use in a project management association in Switzerland. We use buffer for free but I am not conviced. Actually as I prepare designed pictures on Canva, I use now Canva to schedule the posts to LinkedIn , X (I could do more but no time). The calendar of publication from Canva is good, the only down side of the Canva platform is the editor for the text is really poor at the moment. Thank you again for your high quality reviews.

If you're using LinkedIn and X most (e.g. those are your two main channels), then efficient.link/r/typefully would be a great and enjoyable option (it's what Andra and I use exclusively now for X & LinkedIn). That said, you can't expand past those two channels with it for now. Completely hear you on Canva lacking a good text editor. Seems like a lot of work to have to go in your phone app. I’m sticking with Hootsuite as they have improved from what this video showed. Also they have AI integration now and do hashtags automatically. With Hootsuite there are limitations with “X” but it’s more due to “X” word length so I just shorten the post

Would not recommend Cloze, it's an older/dated CRM. Put it this way, there's a reason we don't cover Cloze on our channel (or website: efficient.app) and it's because Cloze doesn't meet the criteria bar for software we're open to evaluating (which in and of itself should be a red flag). You got it! They would have a *better* experience if they are using Superhuman, but they don’t need to be. They will simply get an email to notify them every time a new comment is added to the thread.

Yep, exactly! They will just need to authenticate in using Google or Microsoft 365 (for right now to validate they are who they said they are, so people can't anonymously leave comments, you will know who they are). But no Superhuman needed! Depends what you value! If Spark is working for you, then that’s great. We value the sleek experience Superhuman offers, the minimal interface, the speed (watch our full review to fully get our thoughts efficient.yt/superhuman) We did a deep dive on Spark and while we think it’s a better choice than Gmail or Outlook, it didn’t tempt us. FWIW I was definitely against the idea of paying for email, ever, and totally resisted the idea, said I never would, then tried it for a month and 4 years later here we are, still with a paid subscription and can’t imagine switching off.

@@efficientapp I'm going to use Notion to plan my posting through different social medias and use the native program for each platform to plan the postings.

That sounds like a good plan, makes total sense! 🔥 Maybe one day you can give Motion a shot as it'll actually pull the posting tasks right onto your calendar 😉 that's actually what we do along with planning out content with Flows: efficient.yt/motion
