Since my first video on how to plan a productive day on Notion ( • Plan a Productive Day ... ), I’ve been obsessed with creating the most efficient Daily Planner on Notion (minimal effort, maximum returns)
After 3 years of tweaking, I think we’re 90% of the way there! This Productive Daily Planner for Notion keeps the core elements from previous templates (e.g. Make Time workflow) while improving upon the usability (i.e. no need to create a new page for each week)

I've watched Thomas Frank's video that you mentioned in the video. Fyi guys, if you want deep dive into making your own template, Thomas Frank is the one. But you just made a masterpiece. It is simplified and really usable. Thanks a lot uncle. 🙌🙌

Going beyond "jokes aside" - you purposefully set out a regular time to reply to comments. You follow your own advice and you make time for your community and invest back into the folks investing in you. Your engagement is regular without being a massively consuming part of your day, week, or month. It's an incredibly tricky balance to achieve but you make it sound easy - props to you for that!

Thanks for sharing Jeff! I think this is perfect for those that want to focus on the execution part and less on the planning side. Something I notice with those using Notion is that they get caught up with setting up the perfect system-e.g. overthinking the long term usability, etc.-and not enough on actually doing the tasks listed 😅

I 've been using Notion for a while now but hadn't thought of using the button feature to add recurring tasks, thanks for that! Also I love how you mention other people's work, it creates a nice web of ideas to draw from.

You can use recurring templates to create a new entry each day in your make time database. Then you can filter by “Date is This Week” and never have to worry about creating entries or clearing old ones.

@@jimchiang1729 Click the dropdown menu next to the blue new page button in the top right of the database, and press create a new template. This will open up a new page. Then go back to the dropdown menu, press the three dots next to the template you just created, and click repeat.

Fantastic video, thank you - I can't wait to try this. I tried this a few months ago, but not sure I was ready. I find myself using Notion more and more for everything. I love having it all tracked, but I also like being loose. Having a database to search through has been so helpful on so many occasions. Thank you!

I honestly don't understand how some of these productivity videos are so counterproductive. Sure, it's fine to use Notion to organize a couple of things here and there, but when planning your day starts to be a task itself so full of small procedures to get things going, it's the opposite effect of solving your life. I prefer to spent this precious time on work related tasks and keep things very minimalistic.

hey, Jeff! i've been searching for some time now how to enhance my tasks management with notion and todoist, and you are the first one that I see that uses both at the same time. Mindblowing hahahah I think todoist is the ideal tool for quick capture aswell, but I tend not to organize tasks there too. And I just simply love Notion for planning and organizing everything. I will put this video on repeat and test your system! Thanks!!

Really liked the video and the simplicity around your system. I have been trying to get into Notion and I ended up following someone else simple system with 10+ databases and it didn't work hahaha. So I might take a step back and try a more simple approach. Thank you a lot for the video :)

Thanks for the video! I've tried for so long to get into notion for task & project management, but I've found it to be too hard to stick to. I can barely remember to put my stuff into Todoist lol. For me, scattered sticky notes and paper lists are always going to be the easiest to stick with :)

Thanks for the video, Jeff! I enjoyed the edit at the beginning. Thought that looked cool :) I currently use a much simpler system involving sticky notes and the reminders app on my phone, but I can see the value of having a system like this in place if you have a lot to track. If I used this system, I think something I would add is a section for following up with others. For instance, if a coworker recommended a book they had found helpful, I would make a note to check out that book and mention it next time I see them. It's really just for staying on top of networking so to speak xD

Hahaha the intro took me a couple of hours but I'm happy with how it turned out! So thank you 😁 I think that's the beauty of these apps: we can mold them into tools specific to our needs. I wish Notion was around when I was in college so I could have kept up with my network better as well!

I had a similar system but just started using the new sub-tasks feature to create tasks related to projects (instead of a separate tasks database). We’ll see how it works out!

Love watching your videos! Just got to this one - not sure if this has been brought up to you before, but I do something similar with my running to-do list and a Today list, but I include checkboxes in your "Week View" equivalent for "Today" and "Tomorrow", and if I check that, then it will automatically populate into those lists which don't have sorting applied, so I can manually reorder tasks on that list and it doesn't impact the original tasks or due dates.

@@JeffSu yeah! just adding an extra checkmark box for today/tomorrow as a new property within the full to-do list property, and then making it show within your weekly view so you can just check and uncheck for what you want to do for today and then in the today/tomorrow section, it'd just be a list view of the to-do list database, filtered for only items that have the today/tomorrow box checked but when the task is completed, i check it off on the table view list w the due dates, since i don't think(?) you can add check boxes into list view of a database the only caveat is i'm not sure if it would work with you button to autopopulate daily tasks, since i haven't really used that feature ... might have to separate that out 🧐

You never mention how you manage your work projects and work tasks. And I would really like to hear about it. So long story short I created 3 areas in Notion: Personal, Business (KZfaq), and Work. Then I create projects and RELATE to those 3 areas (tasks as well)

It's great to have a personal Task management system. I found it easier to combine both work and personal into one task management platform. My organisation is using asana, so I also use asana as both personal and work task management platform.

Hi Jeff I really enjoy your content from productivity to career advices (e.g. how to take 1-1 notes with your manager etc)! This is a GREAT question Anna and I'll probably do a video around this in the future. The short answer is a boring one: you need to create a system. Doesn't matter if you use Docs Sheets or Notion, but you need to set a calendar reminder once a quarter to come back and input key metrics: Project Name, Teams involved, Objective, Quantifiable results, advocates, etc.

There is a widget for Notion that allows you to use Todoist. That might help reduce the friction as well as far as swapping back and forth from tab to tab or tab to program. Another thing to recommend for anyone who uses mobile would be to add a table of contents option at the top. That will allow people to click to that specific area without having to do a lot of scrolling. Trust me, my world building Notion stuff has gotten so out of hand I must have a ToC option even for the desktop app. There is something I use called the Complication Factor for my personal tracking. If it is something you can do on your own, the complication factor is one. If it is something that requires two people (yourself and another person), the complication factor is four. If the task requires four people, then the complication factor is sixteen. This helps you get a visual of what is delayed quickly and easily so you aren't wasting your time doing something that other people need to assist with. I usally mark it with CF1, for example. I'll also color code the entry, but that is just overkill for most people. Great video as always, much appreciated! I'll download the template and kick it around! I have to get a new template up for the new job anyway, so this is a good place to tinker!

YOOOO JEFF ! Okay, I watched your video and I really love the explanation. You make it seem quite intuitive and simple. Flexibility is also a priority for me, sometimes I get too overwhelmed and forgo apps entirely. I love the simplicity of pen and paper, but my adhd wanna make things go brrrrrrrr. So yeah, I've been wondering or meaning to build a gamification system using Habitica, Notion and Todoist. Somehow.... I don't want to add too much friction, my plan is to use Notion, todoist (for quick capture) and google calendar the way you have taught us too. I'll add in habitica for basic habit goals, to keep it fun and such. What the mission will be though is to focus on redundancy. I want it all somehow to sync. Api's maybe ? Sounds complicated. Maybe I'll just keep it simple for now and work on this system over time. Anyways, thank you for this video, it really is super helpful to students like me. Happy new years and all the success.

You are making me reconsider Notion. I switched to Bear which is the best notes taking app, but I can't reach it on my windows PC. It's accessbile only from macOS and iOS. Overall Notion is the best product, but I spent more time configuring Notion than actually using it and it wasn't effective for me at all. That's the reason I switched to Bear. But recently I saw several templates in your channel and might give it a try again.

As much as I want to tell you to switch to Notion and use my templates, I have to admit the best tools/processes are the ones you feel the most comfortable with! I had the same problem when I started out with Notion (too much tinkering, too little doing). My advice here is to just pick 1 template/workflow you want to get right (for example daily planning) and ONLY focus on making that pretty/functional for a month, before thinking about your other pages

As you stated, it's best to stick with a system that works for you. In my case, I primarily use Todoist (90% of the time) as a task manager because it is smooth and simple to use, particularly on mobile. On the other hand, I find that Notion has a lot of friction when used as a task manager and require more input. I only use it for managing project tasks.

Adored the video, Jeff! How do you manage the calendar? For all the tasks you create some time on the calendar? And for appointments, for example, a doctor appointment, do you create a task for that, or do you only keep that on the calendar? I use notion, todoist, and calendar, still trying to find the best way to organize them, but I really liked the way you are doing it. It's pretty simple and doable. To take a course or learn a new skill would you create a project for that? Or do you think could be better create a Learning/Knowledge DB?

Hello there. Yes I do see a lot of wasted efforts here moving tasks over and over from place to place. I have similar setup in Notion yours. Love the trick at the beginning and it’s quite nice quoting other KZfaqrs. The video is a bit quick and it’s not easy to catch up many of things. Comments from many pro notion users here which is good. I wonder why use todist instead of reminders and Alfred instead of spotlight and google calendar especially instead of iOS calendar? Sometimes also I feel this system takes a lot of time and just stick to simple reminders list lol.

Wow I love this constructive feedback Abdullah! I agree with each point you made and you don't make me fee defensive at all, so thank you for that 😁 To reply to your questions: 1. Todoist > Reminders because I don't want to rely completely on Apple Ecosystem (tradeoff between "safety" and friction I guess) 2. Alfred > Spotlight this is easy because even with the latest update for Spotlight Alfred is still wayyyy faster and more powerful for more needs (also the snippets feature) 3. Google Calendar > iOS same as my answer to (1) and I love the features that come with Google Calendar

@@JeffSu Hey Jeff! Cool to get a reply back. So dependencies are basically blocking properties. So task B can't get done until task A. It rolled out with Sub-Tasks a week or two ago. Also, the new Command + T update is great too! Just rolled out today for multiple pages to be open within the actual Notion app! STOKED! Keep up the great work and energy!

Great setup Jeff!!! Just a little tip that might help your workflow (or maybe not)... at 4:27 I realized that you fill the "day of the week" manually, from a "Select" property. You could automate this by replacing that property with a formula, this one: formatDate(prop("Date"), "dddd") Not sure if this would have some downsides elsewhere in your setup though, like in some filters that might use the weekday.

Like the concept you're using - still prefer having all my tasks in a single place though 😜 Also use Apple Reminders instead of Todoist because then I can have Siri jot down quick todos I want to work on later and I can add them to Notion when becomes due

Does this database track your "Idea" of content from the "Idea" stage to the "publication" stage for platforms? Or do you have a database to track the "ideas" for each platform?
