Carl, you cover time management using blocking as it pertains to balancing work and none work tasks. But it works exceptionally well if you are retired. When you are retired the number of got to do items decreases but you still only have 24 hrs per day. I found that with less demand for got to do items, my like to do items that might have taken only 15 minutes each because of the press of the got to do items now can take 30 min because the time is there. I started using your blocking system and it works great. I have more time to create more want to do items with planned time. Using Apple calendar and reminders, I have blocks for personal, volunteer, housework, trips to the city, and recreational tasks. I have my reminder lists set up to have title the same as my events. When the block time comes up , I go to my reminder list for that block. I choose the items I want to do during that block. My going to the city block is set up so the reminder comes up based on location. So when I go to the city, all items I need to do when in the city appear in the going to the city reminder because of the use of tags. I now have more time available than I had before using the system. Thanks for the tips.

You're absolutely right there, Don. It applies to everyone from all age groups. We all have things to do and that means we need to find the time to do it.

Awesome video. My problem is that I just don't want to do some of my tasks, so I wind up moving them to another day, over and over again. And so they never get done.

Is there anything you could use to incentivise yourself? For example, I like to take my laptop into the living room, settle onto the sofa with a bit of nice music and clear my emails. I love that time now.

I should also block a time every day 1 hour in trying to find the most effective solution for time management without sticking to anything in the end.

Thanks Carl for another helpful video. I've noticed some changes to your calendar. You no longer have two sessions for email/communications (for Actions this day), and I see a new category "Focus Time". What is Focus Time for? Thanks - Roger

Ah, this is a demo calendar, not my real one. My communication and admin blocks haven't changed in over 5 years, though. I have moved the time slots around a little over the years.

I used to do the method you use however I felt overwhelmed and it’s really hard to have every hour blocked and follow it especially when your team needs you at random times. I used to keep moving the blocks over and over and end up frustrated for not getting things done and it felt like a robot. Now I use things3 only and no calendar, I don’t get Many things done but it’s less stressful. You mentioned moving communication block and having backlog that’s me with emails I’m never checking them as I never have time for them plus I feel it’s not productive! Any thoughts?

Ah, the trick is to not fill up every hour. You only need two to three hours a day to stay on top of pretty much everything you need to do. The rest of the time, keep it free for the random meetings and tasks that other people give you.

Most people that try to complete all their tasks like Ellon Musk, Steve Job, Michelangelo had one secret to complete their tasks, they didn't shower, ate once a day, didn't change their clothes, slept between 4 to 5 hours a day and worked efficiently 20 to 19 hours a day.
