This tutorial will demonstrate how to use Power Automate to build multi-level approval flows. You have the choice to create a serial approval where the flow will route the approval to each one at a time in the order specified. Or you can create a Parallel approval where multiple people get an approval request at the same time. Of course, you can blend the approach and start with a parallel approval then add in a serial element later in the flow. I will show you some basic examples to get you started.

While filming I clicked in the wrong place and accidentally caused an error in the flow that was caught by testing the flow. Always test your flow 😊

Hello Healther, thanks for this video.. this is exactly what i needed right now.. however, would also like to know or if you have already created a video about Power Apps. So the context is, i created a form thru Power Apps (SharePoint is also a repository) and i have a multi level approval (for Manager and Sr. Manager) how would i do this in PowerApps?thank you

I need your help. My boss asked me to create a flow. His requirement is to create an item which goes to two supervisors, and then they both review the item to approve or reject it with their comments. After that, it goes to the manager to review both supervisors' reviews, whether they approve or reject it with their comments. The manager then makes a final decision whether to approve or reject it with his comments to the user. Moreover, he wants me to integrate this flow into Teams.

One way to do this could be to use the Approvals app in Teams. They recently implemented the option to send an approval to multiple people in a sequence. If you do use Power Automate, what you are looking for is mostly in this video. I had 2 approvers and then a 3 rd person. You would just need to modify the false statement to send the approval to the 3 person vs terminating the flow. As for the Teams component, you can go to workflows and use one of those templates. If one does not exist, you can simply create your flow in Power Automate and then pin something like a form or list as a tab. People would fill it out and then trigger the flow.

I just want to know at 9:51 how you put one start and wait for an approval with two conditions where as I see an individual start and wait for condition and condition 2 to add on my end.

I am not sure that totally get your question. But with this approval flow, I have the parallel path which I put in by clicking the + sign in between when an item is created and the first start and wait for approval. Then I added a condition control to each one, both have a true or false path based on the outcome. The thing that I sometimes mess up when going fast, is I insert the parallel path below the first start and wait, but it needs to be inserted below the when an item is created.

@@HeatherMajors I got till your both "condition and condition 2" but the only thing which I cant figure it out is your second last step which is "start and wait for an approval" in your parallel approval. In your video I see one "start and wait for an approval" for both conditions where as on my end after condition I have to add an action separately on both conditions of "start and wait for an approval".How I can add just one "start and wait for an approval" like in your video.

Thank you for this. I tried your example on an approval list I'm working on but new "Apply to each" keep automatically getting added. Then I get "ActionFailed. An action failed. No dependent actions succeeded.". These show up after I add the update item actions. Process runs but now with errors. Any ideas?

Without knowing exactly what you typed in each field my best guess for when I have seen "no depended actions succeeded" is that there is a case sensitive field that is not matched from Power Automate to the List where the data goes. For example, if the list says "Supervisor" and the flow says "supervisor" the fact that the S is capitalized in one place and not the other often results in that error you described.

@@HeatherMajors Is this also still the best way to create parallel approvals with 2 approvers using a SharePoint list? I hadn't touched Power Automate in 2.5 years and now there is the new version that's different. Makes it hard to follow along. Even when I switched to Classic and tried it, it kept adding new "Apply to each" again. Would love to see an updated video but I know you're busy.

@@imeldab2 no you do have a valid point and I have been trying to work in an updated video. To be totally transparent I haven’t tried to create this flow recently since my old one is still working based on your comments I see you totally get that this is a side project and my full-time job takes up a lot of my time, thank you for bringing the idea back to the top of my attention

Great view and nice explanations but what if I have 10 approvers and if one of them rejects (1) The flow should start again

Hi, in that case I would experiment with the approval action of everyone must approve. I use first to reply in videos because it is the simplest way to demonstrate a process. But when you use the "everyone" option the flow will not progress until you get all approvals.

You can run the flow again if someone rejects in the approval chain but what I was saying is it might have to be a manual restart, which is probably a good idea anyway. Since I don't know you exact business process I would imagine it goes like this: Someone submits an item for approval and it goes to 10 people. 1 person rejects the item for a valid reason which they should identify. The person who submits the item would then need to fix whatever caused the rejection. Now they will resubmit the item and it goes back to the same 10 people for them to make sure the item meets whatever the standard is. I would not think it is a good idea to automatically restart the flow because whatever caused the rejection will still be the same document or request on an infinite loop.

@@HeatherMajors Yes absolutely,you are saying truth.. my process is something like that what you have explained Miss Heather.. The user will then fix the item and then updates the item and then it will be sent again to those 10 approvers so if the 4th one rejects then the user will have to update it again and it will sent back to 10 I think the client wants something like that.. If you have an email I could contact you there.. if you don't mind..

Hello - how did you get Supervisor's name to be in the dynamic content?

Patricia, in this example the supervisor names is a required entry on the list when someone asks for time off. I have a column that my employees must fill out using a people picker. Then I pulled the info in from the list via dynamic content. In theory you can use the Office 365 users and get managers but our org never sets up the charts correctly so it does not work well. I gave up and made people type the names in.

Hi Patricia, this is the only video I have that talks about the serial or parallel approvals. When I am looking to learn about Power Automate I go to April Dunnam's channel. Here is a link where I put in the query Approval kzfaq.infosearch?query=approval. I keep saying I am going to learn more about Power Automate but I support 32 applications at work and have not got much beyond the I can do a few things phase 🙂

Hi, you are on the right track, but the trigger for Forms is When a new response is submitted. Then you will need to get response details so you can use the details of the form in your process. I am not sure what info you are gathering or what approvals you need so from there you will have to decide where to route the Forms data and then get the approval.
