Formulating on spreadsheets has been very important in developing any and every product I make... I also use it to calculate the cost to make the product and retail cost... very good information Marie... I love this post... very very useful

Excellent! I have used them to calculate cost per gram as well, but since selling isn't a huge focal point for me I rarely bother these days. It's definitely a total must for anybody with a business, though! Knowledge/ math/ spreadsheets are power 😝

What I did in the past was make a spreadsheet where one tab was a list of my ingredients with the cost/g (divide price paid by grams received). My formulas would be in another tab, and I could call in the cost per gram value from the other tab and multiply cost per gram by number of grams, and then sum that up and divide by the number of units. Don't forget to take the costs of packaging, labelling, ingredient shipping (to yourself!), insurance, your accountant, and all that into your prices as well-you don't want to end up in a place where your business is costing you money! Wow this has opened an entire new world to me! I have been stumped about how to add ingredients not in your recipes that I love, not sure what ingredients quantities must be changed if I want change viscosity or if I want a bigger oil phase or more surfactant in a face cleanser. But I feel like the little tips in here not about spreadsheets per se (like emulsifiers should generally be included at a ratio of 1:3 or 1:4 of the oil phase) and this led me to other internet corners to learn the ranges of active surfactant matter in different types of cleansers... I am excited to tweak your recipes and really make them work for my skin! THANK YOU so much for sharing your extensive knowledge and excel formulas, lol!

Thanks so much Marie. I don’t know much about spreadsheets but love to play with them. Your explanations were clear and succinct. Saying that, I still got a bit lost as the video progressed. I know I’ll have no problems once I’m actually working with it. I have to say I’m blown away with your latest additions to your blog. I wanted to thank you for your videos. I have been reviewing a couple of them (and your encyclopedia) because I wanted to dupe an expensive cream. It was one of those moments when seeing the price tag where I figured it couldn’t hurt to try and make it myself. After several learning opportunities, I made it today! I saw this post like 4 years ago, i was -10 at spreadsheets, watch a couple seconds and said "fu ck that!" . now, that i am more confident about using them, just a little bit, now i watch the entire video and apply everything you demonstrated. i wont stop from still doing this the old fashion way, with paper and pen, but i begin to using this spreadsheets for save time. thank you very much Marie, greetings from Chile.

Almost all my recipes are in a spreadsheet. I make a lot bread, charcuterie and sausage. The spreadsheets are based on the percentage of ingredients So great job on using spreadsheets Humblebee

Oh Marie! Thank you so much for this video & blog post. I watched the video and read the blog in December when you first posted it but my lack of knowledge with spreadsheets was frustrating. I tried made some progress but muddled my way around. I left it alone and then came back and really picked each sentence apart and compared the samples to my own and I had an Ah-Ha! Moment. I got the cost per batch and basic spreadsheet down but until this morning I finally understood the scaling part where you have the percentages and just change the batch size and the grams compute. I FEEL SO SMART AND WELL EQUIPPED! I appreciate your willingness to teach others and the work involved to present it!

@@diagrier9963 I’m not the person you asked, and I’m betting you’ve already sorted it out since yours is an older comment… But I just saw Marie’s response to this question on another comment, and as someone who is really not great at math - I get the struggle - I thought I’d post her reply; Marie suggests: 1. Make a spreadsheet tab where you list all ingredients for a given formula; 2. List the cost per gram for each ingredient by dividing price paid for that ingredient (including tax and shipping to you) by the number of grams purchased; 3. Sum those itemized costs per gram up for the whole recipe and divide that total sum by the total number of units (bottles of lotion or tubs of body butter or whatever) for that formula’s recipe. That gives you your raw materials cost per package for each item you just made, but now you have to… 4. Add in the itemized costs of packaging, labeling, lab testing, ingredient shipping to yourself, insurance, your accountant, other related business expenses like utilities, storage fees, etc., [and, ideally, your hourly wage rate?] - add those costs into your per item pricing and divide it by item, as well. That gives you a starting price point per item. As Marie points out, you don’t want to end up in a situation where your business is costing you money to do or it is not sustainable. All these costs are why many do this as a hobby vs. a business, because the costs involved often can make the per item price too high to justify it. But others can make it work somehow if the passion, drive, and logistics are in place. Good luck! 🍀

Marie, thank you so much for this video! I have been wanting to transfer my recipe notes from my scribbled notebook into the computer for so long now, but just didn't know how. My life is so much easier now when it comes to searching recipes, resizing, experimenting, etc. I think my favorite aspect is being able to convert my recipe from ounces (the size of the product container) to grams (for easy and precise measuring) without having to constantly pull out my phone to do the math for me. That alone saves me so much time when I'm prepping my ingredients. Again, thank you for showing us your format and formulas to get us started!

@Brooklyn Turner Hello. I'd like to know how you were able to switch between ounces and grams. When I tried the spreadsheet thing, I had so much trouble with just trying to get the percentage right, even when I had the right percentage there, which is 100%. It would always change to 199.00%. I really felt like crying when I could not get it. Also, the batch amount has thousands and numbers behind the decimals. This makes it confusing for me to find out exactly how many grams in or Oz whichever it shows because I'm not sure. I want to use spreadsheet because I don't like the fact of having thousands of tabs open on my computer. And the fear of losing that data if anything goes wrong with my PC. Yet, I'm getting very frustrated and want to give up2

@@diagrier9963 I understand the confusion. KZfaq tutorials on spreadsheets are super helpful for this. It helps you understand cells and formulas. Make sure also that each column is of the right type of input, percentages, etc.

Omg that was pretty cool to watch and yeah intimidating. Yep maths is not my best subject and spreadsheets use to be an action you do with sheets such as spreading sheets on a flat surface...just kiddin!! You made it look really easy and normally my brain shuts down when it comes to mathematical, technical jargon. But watching this video showed that formulating can be easy in a spreadsheet. So thanks for sharing this knowledge.

This is brilliant as always. Pretty validating for me that I'd just finished doing this for all my formulations a couple of days ago, then happened upon this video! Yay! Learned plenty too, thank you so much. Something I do in addition, because I work with slightly larger batch sizes, is enter how much packaging I'm wanting the batch size to fill and use that to calculate the total from that. The rest...basically the same but I'm not quite as organised or logical as you are (the benefits of experience, eh?). Having formulae throughout means it's gone from 20 minutes of scratching my head (screw ratio formulations lol) to 5 seconds of plugging in how many jars I want. I wonder if a modern extension of calculating your active surfactants et al would be to have a tab set aside just for an index of those relevant figures, then throwing VLOOKUP at it so you don't need the calcs off to the side. But realistically that's just a bit of a flex, or for spreadsheets that are multiplayer...slight overkill for a behind the scenes sheet!

I'm still almost as confused. However will copy a couple of your sample formulas so I could see what's going on. Then we'll start making up some of my own until I get a feel for it. This is going to take a while but I really appreciate this video. I never could get anybody to explain to me how a spreadsheet worked. They kept saying just use this. Not my style to use something without knowing what I'm doing totally. I think I'm going to be able to get this. Thank you, so many times over, thank you for this video. No more feeling like I'm missing a big chunk of the whole picture

I can't say I do, but I don't really maintain an inventory as I'm pretty haphazard with that sort of thing 😝 I loosely track things on Snupps (www.snupps.com/marierayma) but that's about it ha. Hopefully somebody else will have some more interesting tips for you!

Greta video. What if I'm making an "oil-free" moisturizer and my oil phase only consists of Emulsifying Wax NF and Cetyl alcohol? At what percentage should I be using the e-wax NF with no oils? My goal is a light/low viscous lotion. I've tried using as low as 2% e-wax NF and 1% Cetyl alcohol (or no Cetyl alcohol), but find the lotion is still thicker than I desire after a day or so.

When we got to calculating the active surfactants spreadsheet does the space affect the calculation? For instance if we are calculating the percentage of distilled water needed and we do the =1-(sum(b2:b8)) how do we account for the empty rows? Does it matter? And I also notice that in the active surfactant part the distilled water is in the B2 coloum which I should think will affect the formula for the calculation of the percentage of distilled h20? This is an amazing video and I'm so excited to try it out! Thank you

No, it doesn't-empty spaces are just that-empty-and do not factor in at all. I don't understand the second part of your question? I'd recommend reading the blog post and giving it a try for yourself; I suspect you'll find it makes sense when you do it for yourself!

Quick question: How do we know how much of a product to put into the batch? I am understanding your very detailed and easy to grasp breakdown of how to turn the weights into %s, and how to get the %s into weight by multiplying into the batch size. But I am having trouble understanding how do you know the exact percentages (or weights) to put in into the spreadsheet?

Hi! I absolutely love this idea but I'm a bit confused, cell A1 is the batch size for example 50 containers, but the rest of the A column is in what unit? How will that help me to measure? I'm not sure if its 25 grams, 15 grams and 10 grams or is it another unit? (see video at 3:52)

50 is 50 of whatever unit you want-50 grams, 50 pounds, 50 barrels. Column A is in whatever unit you decide the 50 (or whatever number) is.

Hi Marie! I know this is an old video but I had a question about adding a way to convert the same formula from oz to grams is there a way to make it a drop down or something to convert easily? Say I get a formula that was made for grams but I want to make 80 oz instead? Is there a way to make it convert in a click or do I just need to convert the oz to grams and enter that instead? I hope that makes sense. Thank you.

% are %-the precise unit doesn't matter. Get the formulation into % and then go from there :)

@@diagrier9963 What she is saying is, if you want to make 80 oz and your formula contains Olive Oil at 50%, then you will use 40 oz of olive oil. The issue may be taking a formula that only gives ounces or grams and changing it into percents. I guess we can all say we wished we had paid more attention in math class. 😁

I've added up my %'s for my formulation, and they add up to 100. I followed every instruction you have displayed, yet Spreadsheet is giving 199.00%. I've started over so many times and get the same results... I am just about to give up. Please help

It sounds like a "1" in the sheet isn't a %, so it's being read as 100%. Double check all the "1" values to ensure they are formatted as percentages. Good luck!

Can you explain why it is important to work out the active surfactant ratio. Since the ingredient amount has already broken down. Just wondering if there’s needs to be an absolutely important reason why you’re teach teaching this part.

It's because surfactants can vary in strength a lot, so by calculating the ASM you are comparing apples to apples, as it were :)

Hi Marie... I have an awesome spreadsheet that was done by somebody else a long time ago, that I would love to share with other makers. Although I can no longer credit the original author since I've long since forgotten where it came from. But it is a bit more intricate, and was originally shared for use by others. I have the original version, as well as one I've been working on that has an ingredient list people can add to. Then in the ingredients list of the recipe, you just select the ingredients and add your percentages to them. It was intended for lip balms, but I'm pretty sure it might be useful for other items as well - or one can figure out how to make it so it does. It was also intended for selling, but I only make for myself - so the selling portions of it have remained either wholly or mostly untouched by my revisions (I'm not even sure if it still works, to be honest 🙂). However, I don't know how to get this out to the maker community so others might benefit from it.

@@_Ag- Thanks for the suggestion. Sorry it took a while to make this answer. I ended up deciding to practically redo the entire original spreadsheet, so now it barely resembles the original whatsoever. In comparison, the original one seems so incredibly rudimentary now - though I thank the OP for giving me a direction to go in the first place, many years ago. But it took some more focused learning of LibreOffice Calc to try and get it to where it is now. What is currently in it, is what I wanted to do for quite a long while but wasn't sure how I wanted to do it. I'm still not sure, but it is what it is so far. However, I'm still working on identifying and fixing any new bugs that have been introduced by my recent major rework. The current incarnation of the spreadsheet now allows for making up to 4 adjustments to an already made lip balm (or any product, I imagine). It has spaces to enter in the current weights after you empty the contents of the current container(s) into a tared measuring beaker - and then add new ingredients to it, all while accounting for the percentages and amounts of what was remaining when you decided to remelt the previous experiment (EDIT: AND the previous experiment, AND the previous experiment, AND the previous experiment). Yes, I really *REALLY* like this part! 😁 I just hope it's working correctly. ^^ *I believe such a feature as this might be desired by many, since I've certainly desperately craved for it for WAY MORE than a good long while myself. 😊* The selling portions are entirely removed now. The only remaining cost info is the dynamically allocated cost of *ALL* the added ingredients themselves... I took out all the cost items related to the tubes and labels and whatnot. I'll have to try and find that formulating subreddit forum soon, especially if they allow for uploading a spreadsheet file! I feel that this spreadsheet could greatly help out other new formulators (ESPECIALLY the multi-adjustment parts that I've been working on lately!!!), and I'd love to pay it forward.

I decided to put it on a Google Drive. I'm just putting my version up, as it's far more advanced at this point. My brain has turned to mush trying to keep everything working throughout all my changes. The spreadsheet is pretty much ready for prime time I think, after discovering a fairly hefty bug last night. :) If you can, let me know how intuitive it might be. I've been working on it for so long now, I'm afraid I would have lost touch with any ease-of-use issues that others might have with it. After all, I had never intended on releasing it - until I finally cracked into one way of doing adjustments. I could always add more instructions to the 'readme' file for any areas that might not be clear. Link is in the other post.

I input your Lemon Chiffon Body and Hand lotion recipe that I frequently use and love. My question is, how do I know the percentages? Only the amount to use is listed and I have no idea what to put in the % column so that everything can be scaled up or down. Sometimes I need something to fit in my pretty 4 oz bottle in the bathroom, sometimes 12 oz in the kitchen and sometimes 8 oz in my dressing area. That percentages thing is something not addressed in the recipes. Can you help?

I am really having a problem with your *1-(sum(B3:B9)) formula for quantity sufficient. I can’t place the formula in B2 without getting an error message.

This may seem like a really stupid question, but how do you figure out the precent of each ingredent? I know the precent is how much of your total recipe that ingredent is, but I'm just not sure how to know how much of a body butter recipe show be mango butter for example.

I'm not sure if you're asking about formulation development, or determining percentages in formulations provided in grams/ounces/etc. If it's the second one, I've covered that here: www.humblebeeandme.com/how-to-scale-any-recipe/ If it's the first one-it's experimentation, taking notes, learning, and trying over and over again. Think of it a bit like cooking without a recipe-how do you know how much onion to use? How do you know which flavours will work together? Experience, experimentation, and time :) Happy making!

Is there a way to do this using good okd math? Please this is all im stuck on is taking a recipe that is written in ounces and transferring it to % so i can scale it and switch it to grams. Someone please help!!

Lost me with the pola wax. You were saying it is at 25% of something. It says 2% on the spreadsheet. What am I not getting? I think you are saying now that I watched it again the oil phase is 25% of the formula because there are 4 ingredients in the oil phase and that is 25% of 100?

Chris is right-melting point is a big part of it! I find beeswax makes products feel creamier/tackier while candelilla and carnauba waxes create much thinner, glossier feeling products.
