Microsoft Bookings Tutorial; Everything You Need to Know

Microsoft Bookings is a free application in Microsoft 365 and everyone should be using it.
You can use Microsoft Bookings in a couple of different ways. Firstly, you can stop wasting time trying to organise meetings with people over email, just send them your Bookings link.
Secondly, you can have shared booking pages where you can organise your business's services and let people book them - like for example a hair salon.

Thank you for this video! It's easy to follow and really helpful. I can't wait to check out your other videos now that I have found you! :) I love when things can be automated and was so happy to see you present the follow up email feature in Bookings. In testing it out, I've noticed that in the email the customer receives it reads "You have an upcoming booking" after their name and then "Appointment reminder". I'm confused as this seems out of place for a follow-up email that is sent after the booking has taken place and I can't see where I can edit either of these. You obviously have a much better understanding of Microsoft products and IT than me! Do you know where I can change this or have any suggestions as to what might be happening, please??

I have used Calendly and MS Bookings is better. I especially like the integration with Outlook (natural expectation from MS) and other apps. Thanks for your comprehensive tutorial. 😊

I was about to purchase Calendly or tidycal, now I certainly don't want to anymore, thank you for the video! The only question I'm pondering on now: How can I integrate MS Bookings into my wordpress based website? I don't want to have my clients to leave my website or to open the bookings page in a new tab.

thanks for the video ... but I was wondering is there a way that one could customize the availability hours without it being recurring ( for example in personal booking page when you set the start and ending date it automatically obliges but in shared booking page it doesn't...So is there any way to fix it?)

If you have say 10 employees all with availability how does the booking tool choose who to allocate and is there an algorithm so that opportunities are fairly spread or is it random e.g could someone get 3 or 4 bookings in a row or would it share them out?

Hi, you're video is fantastic and I got everything set up so quickly, thank you!! I am only using the personal booking as its just me and I can't seem to 1. find a book off button on the personal booking page or 2 when I book the time off, busy or away in outlook it still shows my appointment times as available on the bookings app. Please help!

@@NQamr Hi, it is very easy and effective. Simply set up Services as your rooms like room1 bldg.1 flr.2 etc. and assign mocked staff to each room. You can customize look and feel to reflect your organization and etc. and let people in your org access thorugh provided link or let them download and install MS booking app. MS Booking take care of the secrutity and administration things like access control allowed for people under your organization domain only or open to public.

Hello. I want something specific about booking. I have a shop where people can online arrange appointments. Τhere are two positions that work in the morning and in the afternoon. When one of my employees has scheduled leave i want to close the appointments for his/her position. Now i have to enter each day and close e.g the afternoon appointments. Is there any script or something i can use to close e.g 1-15 July only the afternoon appointments for position 2? If i choose to close 1-15 July from 13.00 to 21.00, booking close day appointments also from 2 to 15 July. I'm looking forward for your answer. Thank you!!

I am trying to create a flow that when a booking is made/edited/cancelled, it flows to a sharepoint; then another flow triggers to update the bookings calendar event to a subject and body that I input based on sharepoint data. I can’t find an identifier to pull the specific event created to update it. SelfServiceAppointmentID doesnt work. Help??

This does happen, the initial calendar entry is marked as Tentative, until it is accepted, then becomes Busy.

I have a shared page for my job. Typically non-staff people can sign up for 2 volunteer shifts. Sometimes we randomly move the hours, so the default scheduling policy doesn't really work for me. Is there a way to simply add the dates and times I want to be bookable without having to use my calendar to set availability? I tried adding dates to the calendar tab, but they don't appear on the published bookings page.

You can add two unlicensed user accounts as staff (Guests) for your volunteer shifts, then add a bookable service for each of those shifts. You can then edit staff availability using either custom business hours (for regular availability) or by adding 'time off' (for ad hoc availability). I do the same for meeting room and hot desk bookings.

Yes, when you CREATE the service, you can specify a number for the field "Maximum Number of Attendees". Careful though, this max number cannot be modified after creating a service.

Really helpful and great beard btw😉 I never use Teams, is there a way to change it so that the person has to pick Zoom or In person when they book? Also, are people only seeing the available times and not my other appointments ? Thanks!!

Thanks! There is no integration between Bookings and Zoom. You could create a service and have the default as In Person and not online? But people can’t choose. I hope that helps… abit

There is an option for 'Location' so you can have the Zoom Link in there.. You could set up two different links and label them as 'In Person Meetings' and 'Zoom Meetings'. When a slot gets booked on one link, it won't be available on the other link.

Bookings has a PowerAutomate Connector triggered on create/update/cancel, you could create a flow to also create a Zoom meeting.

@@bearded365guy This feature is what's holding me back from using Bookings vs. Calendly. I could save my company $500/mo by stopping our Calendly subscription but I can't move it forward for something as basic as choosing which virtual meeting URL I wish to use. Even Outlook has corrected this and allows other virtual conferencing software to be used as the default meeting type.

Thanks for the great video. I have a recurring appointment that happens weekly, is there a way that I can delete one of the occurrences without deleting the whole series. I have one patient who has a weekly sessions for 1 month, but he wants to cancel one appointment only. is this possible and how please? Thanks

It looks to me like that wouldn’t be done in Bookings but directly in your Outlook calendar?

I've not seen a recurring booking feature, though there are requests for it on Microsoft's feedback portal. You could, in theory, create individual bookings on a recurring pattern using the Bookings API. Maybe have a manual flow that requests a start date and number of iterations then uses the API to iteratively create them. There are tutorials out there on using the Bookings API instead of the GUI.

Hi John, The issue i am having with all these scheduling programs is that I am a shift worker so my availability changes daily. So I need a program that can do the following as an example..... Thurs 26/7 Avail, 6pm, 7pm, 8pm, 9pm Fri 28/7, Avail 6pm, 7pm Sat 29/7, Avail 8am to 8pm Sun 30/7 Not available at all I need something where I can provide availability per day, not day of the week or regular hours. From what I can see, it looks like MS Bookings can't do this. Would u pls clarify? Thanks, mate

@@sarahqureshi6884 I just found out 2 days ago, after 2-3 yrs of using Kartra and knew about their Calendar, that it can be used for my needs. I was under the impression Kartra's calendar scheduling system was not conducive to my lifestyle yet it is, so I am now using that instead as it is no extra cost to me and all under one umbrella, so to speak. If I need to change, I shall keep this in mind. Thanks for the reply 🙂

You need to change it week by week unfortunately. But most of the time you schedule a meeting within a few days not weeks ahead. You can also type it in the message but yeah....

I ended up learning I can use Kartra's Booking Scheduler, even with my differing work hours. 10to8, now a different name from memory were brilliant and if not the best in my opinion yet have since changed. Luckily Kartra's system now works for my lifestyle 🙂

Just a heads up that currently, Microsoft bookings meetings DO NOT show up on a calendar on a Mac computer. Making it useless for Mac users. :(

Yes I'm using outlook for Mac, and it displays there. I'm using an iPhone and it displays there. Just not on a Mac calendar. So weird. All of Microsoft's other services push Calander events to Macs just fine. So weird.

@@bearded365guy on a group booking, as soon as someone signs up it sends a cancellation to the previously booked on attendees and creates a new booking just for the new client.
