Planning sessions and estimation can often be stressful and challenging for a team and their customers. This estimation game helps to bring a fun start to the session and get everyone chatting and their minds into estimation mode!
#estimations #estimationgame #projectmanagement
Estimating work we’ve never done before is challenging, this game helps to acknowledge that and ensuring we are ready to ask questions and gain clarity so we can better scope and estimate activities.
- estimate size and time
- get into the right mindset for estimating
- get conversations started
- reach consensus and understanding
- get to know one another and build rapport and trust
- have some fun!
- understand differences in estimation
- raise awareness of, and challenge assumptions
Estimation Game - Cup of Tea
Teams estimate how long they think it will take to make a cup of tea in minutes, the team then shares estimates and explains their reasoning.
The exercise shows that estimating even small familiar tasks the estimates can be broad because everyone makes assumptions, and tea (or coffee) they way they like. Some include brewing time, drinking, others go for the fastest method they know.
The exercise really helps to show teams that estimates can be broad based on assumptions and lack of understanding of actuals even when relatively simple tasks.
Do we have fresh water, kettle, t-bags already? Who is the tea for? How many?

Great way of introducing the hidden assumptions we all make when estimating. Estimators often disagree because we're making different assumptions. I hadn't thought about the work/home/other assumption as I always make tea at home. I considered giving my iced tea estimate because that is 99% of the tea I drink. But I thought 4 minutes as I have an instant-hot faucet and then 3' to steep (at most). My daughter would have said at least 15' because she's a connoisseur and has a whole process with the leaves, etc. I'm too impatient. Another good discussion could be about the waiting time. I try to bring that up in my work with an example like "hire a new team member." We talk about waiting time not really being part of the estimate. (We're going to wait 3 days then review all applications.) Waiting time doesn't get included in the estimate because it's not effort. It is considered when planning, though, so we run the ad far enough in advance to get the applications. Great exercise, Belinda.

Yes absolutely! Time to steep ( time to brew here in uk) is a great point, can be compared to waiting time, and also thinking time, time to work it out, letting it brew, or percolate. People usually assume they’re home and have everything needed to hand to make it the way they like, again something we tend to assume estimating tasks. Do we include drinking it or delivering it too? Getting the ingredients? Washing up after? Pre/post work, testing, delivery, or just making it? So many questions for such a simple task! An international team is fun as the diversity of estimates and assumptions increases, making the point even stronger, ice tea is a great example! After the break there’s always a good discussion, often people have timed themselves and share observations between their estimate and reality, then there’s always someone with some biscuit scope creep or similar! It biggest value is it always gets everyone thinking and chatting! Thanks for your great comments!

Love it! Clearly shows how important estimation is to uncover differing hidden assumptions.

@@Beingagileinbusiness did it with coffee yesterday. They immediately jumped into discussions of brewing methods and other assumptions. Without explaining they got that estimating is more about uncovering hidden assumptions and than about creating numbers 😃

Sure, 4 cups it is. ☕☕☕☕ 😊 Nothing else changes. Beyond 4 cups though, the vessel needs to be bigger and the time will increase. 👍
