Love your videos! Literally what I need, short and to the point. Definitely trying to get my notion set up, at first it felt overwhelming but watching your videos makes it seem that it fairly simple 😅 I mean as a mum of 4 and housewife my days definitely are jam packed with things to do, all the more reason to have somewhere to organise everything. I think the fear for many is transitioning over to notion for the same reason you mentioned. I am currently testing Bear App and Notion but may have to find the differentiating characteristics for my long terms goals with KZfaq and some other artsy goals. Great short video! Very good pace too.

The looks folder can be done on Notion, as a Gallery database! I use this as my mood board andd add everything I see, I have a section just for articles, websites, ideas, design, etc.

Your last remark is what keeps me from adopting Notion. Given that I refuse to be tied to subscriptions, if I become too invested in it and they decide to cancel the free tier I’m screwed. Therefore I always opt for either the Apple’s own apps (notes, reminders) or Google’s (mail, calendar).

I do organize my files like that and I just spent the whole weekend sorting every file into different categories, now to get a label maker cause I'm the person with a drawer of just random external hard drives lol

Thanks for the video and Iike your philosophies. My only concern is that relying on any external drive for your storage is a potential recipe for data loss, I'd go with iCloud, drives can get: lost, stolen, or just fail. Without cloud backup you lose everything.

I translate movie scripts... long text files. Average screenplay 18K words, story outline 2K words, treatment 7K words. I look at your very fine KZfaq clip and I'm left wondering. Wondering about this form of minimalism you are touting which is of course marvelous, but it simply would be over the top for me. Everything is so "un-minimalistically" controlled. I mean your desktop is clean and your file storage is organized and you have every thought, picture and song that ever crossed your mind "mapped" by Notion. I look at what you're presenting and secretly wish I had the kind of life with the NEED for all that organization which - I repeat - is anything but minimalistic. What was important to me was being able to work (translate) productively both at a chair and table (meaning desktop, or laptop, or big tablet with external keyboard) AND untethered to chair and table, on my iPad mini tablet. Long form writing on a tablet WITHOUT a chair, table, keyboard? It's eminently possible with the right software. Not notion, not any of the hundreds of cool apps for notes, doodles, PDF annotations and organization. Repeat: I simply don't have so much stuff to organize, but 18K words that need to be slung from Italian to English in a week. Now, thanks to an app called Notebooks, all editing operations requiring deletion (which is the soul of editing) no longer require selection. No more pudgy thumb dragging mini handles. With a process called Connective Editing, I can actually perform most editing operations on my mini faster than what Bill Gates can do seated in front of MS Word at a regular computer. 🎉 Saluti dall'Italia

I use the Notion free version. However, you need to upgrade to personal pro if you want to collaborate with more than 5 guests and unlimited file uploads. ($4 / month). I find the free version enough for just me at the moment. But, I will likely upgrade later when working with a big team. Hope the info is helpful.

What is your opinion of an app that tries to be “the jack of all trades, master of none”? Use kanban in Notion over Trello? Use the calendar in Notion over Fantastical? Can you explain the reason why we should stop using dedicated apps for the job and replace them with an all-in-one app?

Hey Patrick! How are you? For me simplicity wins, to have everything in one place is just better. I am sure Trello, and fantastical are great apps but I’ve learned the more apps I include into my workflow the more complicated. The goal is to simplify my life as much as possible. So that’s my reason. Notion does the trick 🤟🏻

The external SSDs are susceptible to bit rot if you don’t plug them in for a while and the portable drives to physical damage, I am still looking for some solution to use external drives that will also backup securely somewhere hmm

Just bite the bullet and buy iCloud, no more worries about all the things that could happen with external drives. Bonus is that for a Minimalist, one or more less physical 'things' clutter your life and worry about.

@@wherezthebeef I have iCloud, but 2TB is not enough, it also doesn't version your documents so if you accidentally edit or deleted something (or if there's a bit of ransomware or virus that deletes or locks your stuff), you're stuffed. iCloud is great, but it's no replacement for backups.

I need a system. I use to be pretty good about it. But then I started a new job where I use my own computers and stuff. The amount of docs and web browser profiles and stuff I need has made it where I as of now just end up saving everything in one folder it's not good

I don't trust Notion. Recently, I noticed that many screenshots I once took have disappeared. Instead of screenshots, there is some error from the cloud that Notion is using in the background. This means for me that I will never use this software again.

Only the ones I send to clients (google drive). My files are heavy. 4K footage, I’d need multiple terabytes to store them online, that’s why I use external drives.

@@RobertCreating the weak link in a Notion setup is that the files created are not saved in a common usable/editable/readable format. In Obsidian, everything is stored as markdown files locally. So even if tomorrow the Obsidian app gets shut down, you still have your files and you just migrate to another tool that supports markdown editing.

I use Obsidian for the same reason. I love Notion but I dont want to be a prisioner of a company. I use Obsidian despite the fact that it is harder to use, and it is less customizable... But I can sleep better knowing all my data and personal stuff notes are under my control and future proof.

It’s a Notion template. Anytime you find something interesting online but have no time to read, you can save it for later in Notion. Kind of like airdropping a file but instead, you choose Notion and click my links. I will make a more detailed Notion guide soon. Hope that helps
