One thing about these calls is the one thing that seems consistent is the callers have almost no clue what is actually going on. No idea if they even make money. No idea if they are paying taxes. Just "things aren't good".

I work with small business centers all day every day and my estimate is 90% of them can’t read their financial statements accurately (if they are even generating them). Of those 90% a majority of them were just scared to even look at the numbers. It’s remarkable how many things are happening in these businesses and people simply don’t understand what they are or why they are taking place.

4 employees 800k and you dont have 17k. I understand the 1.4 with 14 enployees not making money but the 800k im so confused by

When the job went that extra long it almost certainly had a bunch of changes in their scope of work. They should NOT just go along with whatever the GC or owner says bc they’ll try to get a little sub like them to do things for free by bullying. What they should instead do is say “that’s different from what we agreed upon. This extra will cost you.” And they should put like a 70% gross margin on it. If they did that they likely wouldn’t have been hit so hard by this big bad job.

When she said $1.4 million in revenue and 14 employees my first thought was "that's not good news, no way that is going to work."

Especially in Fab work it takes atleast 60k to keep a good welder/fabricator.

Sounds like she needs a good book-keeper AND a good job costing system. The thing I have found with job costing is that most people underestimate overhead costs. If there is anyone working there but not creating income, their cost needs to be included (pro-rata) in each job along with rent, utilities, insurance, etc.

tip of the week: when its time for bills to be paid, maybe take a look at the business account you pay your bills from and if you see bills are being paid, if not, CALL SOMEONE, dont sit there and relish in that extra money sitting there. At some point they WILL come looking for it. If you cant do that, please dont come to me with a bid to do ANY KIND of work because you are IRRESPONSIBLE..any way..i think they should jump into corporate America where they can be told what to do and when to eat and when to go home.

People are so dumb with bookkeeping. It's easy to verify first if bills weren't pulled yet instead of thinking "ooh extra money!"

I have a question for anyone who knows. How do you do effective job costing for smaller jobs like a mowing lawns, window cleaning, etc

From what I’m told, they charge a set rate per square food based on the demographic. So a poor residential area has a different square foot rate from a rich residential area, and a commercial area is different as well. In each case, there’s a fairly set square foot rate for a basic package and then a flat rate charge for package add-ons.

You would figure out how much material and transportation costs you have for a certain part of a job and then add in the hourly cost of labor and part of the cost of overhead (software, tech, secretarial work, insurance, etc), then add on a percentage for profit/savings/risk.

Sounds to me that they hired on too many people too quickly, and had zero margin for error. Might be worth hiring a separate bookkeeper to help dig them out of this hole.

I’ve seen a lot of subs in construction do this. They get a big job, hire a bunch of people, find out those people can’t do the job correctly, fire those people, then get behind. They end up getting so far behind they can’t make it to the agreed upon billing target, and then run out of capitol. Big jobs do not mean big money!

It sounds like she does have better accounting management than the husband (who seemed to have about zero skill). And that she has walked into a hot mess. She possibly does not have the skills (yet?) on the costing side of things. It is a hard situation to walk into, even with some skill, to keep the ship afloat and get it back on course. She probably needs a business management course to help her get up to speed. They were definitely overstaffed with 14, but may now be understaffed. Perhaps focus on the smaller jobs, faster turnarounds, and not play in the big sandbox for a while until on a more stable footing.

This company is a mess. Not the poor laid-off employees' fault. Live and learn...work for a better company. Glad I don't work for the caller.

i understand that someone like this would he freaking out, and want to call and talk about it right away, but at least do Dave (the listeners, and other business owners that need help) the justice of having your information together, your books together, where you can provide him with actual numbers, which he can help. This was just a sh*t show.

She thinks she can fix this by being the bookkeeper and using spreadsheets in order to keep costs down, they can't, some things are worth investing in and good bookkeeping is one, she's just not qualified.

Sounds like they were using Mercury. Mercury ran into a problem last year where they didn’t actually take out money when they should have. As a result, many transactions were reversed… I was affected. And, I had to talk to my previous clients about the awkward situation.
