Question for future live if you do this again: I use Motion and perpetually have lots of tasks (like 100+) that are past deadline (soft and hard) waiting to be resolved. But no matter how many times I push back their deadlines and shift priorities, they still slip past due. How would you address this for yourselves or your team? I suppose the cause is a combo of 2 or 3 likely reasons: 1. Not enough time on the schedule (I simply can’t fix this right now; I’m already overscheduled) 2. Too many tasks to complete (true, but things have to get done) 3. I’m terribly inefficient and/or bad at estimating time to completion (effort and duration) One big flaw in Motion (and most software) is that it is easy to add a task, especially with the quick entry window. But there’s nothing to show me when that task is likely to get done (my schedule is full with tasks up to Motions limit of 30 days out). I can dig into a project to see the total estimated time, but that may be inaccurate and doesn’t take into account all other projects. I’d love to know, based on all current scheduled and pending tasks, when a new task can be expected to be scheduled. This would make it much easier to justify saying no to new assignments.

Nathan! We recognize you from your blog posts, awesome to see you here! 👋 So you sound a lot like me (Alex). Andra stays on-top of her tasks super well-but some days I might have 30 past-due tasks. What I do is I just triage through them every week or so, and the truth of the matter is when doing that, I often realize that I naturally already completed about 25% of the tasks (just mark them complete), about 25% I just reflect and go "I'm not going to actually get to this anytime soon and isn't important", and I'll mark it as "Low" priority or even backlog status (for it to go and die), and definitely remove the auto-scheduling bit. Then there's the remaining 50% that I just need to work through prioritizing. Think it just comes to work styles, Andra follows her daily recommendations to the T. I think you and I probably just put a lot more into Motion, and then get a bit overwhelmed. I think we just need to be more mindful of what we're putting in, or just disable auto-schedule and have more awareness around importance and if we really need it to show on our calendar or not. Regarding your comment here: I’d love to know, based on all current scheduled and pending tasks, when a new task can be expected to be scheduled. That's super interesting, so you're saying that when "creating" the task, you want it to essentially predict "based on what you've selected, if you create this task, it won't be able to be scheduled/completed until 3 weeks out", and that might give you the awareness of "oh wait, I'm over-booking myself, I shouldn't even be adding this"? It's an interesting idea and solution to the pain-point that you have and I relate with my friend! P.S. Is there a way to move tasks between Workspaces? If I create something in My Tasks on the fly and then realize it should be in a different workspace, I can't seem to change that.

Yep, easy one! Click on the task and in the top-right corner of the task you can change the workspace and the project (if you want it in a project). You can definitely change it after creating it though 💯

Are you referring to Motion Flows? If you're an existing customer on a Team account, you can write to support@usemotion.com and you can get into their beta. If you're not yet using Motion, sign up here (and claim the deal): efficient.deals/motion Or if you're wanting to wait until it's GA, probably another 1-2 months.
