A good example of bad customer service is using multiple mediums of communication with the client....if a client emails you, keep emailing them don't text them or skype them even if you have those channels.

This is SO practical. I love all the little tips like when Ben said, "will I need more than one response? If so, call." Or when Chris was talking about being confident but not to the point of cocky.

NEVER WRITE EMOTIONAL EMAILS=The best piece of advice to take from this. Early in my career I was inexperienced and took everything personally and therefore burnt a LOT of bridges. Hopefully other people don't have to learn that lesson the hard way. I think it's easy to get a negative outlook regarding clients so I like how Ben mentioned attitude. Remembering to be grateful to be designers and keeping that gratitude in mind when dealing with clients is key. As Aaron Draplin says, "we're not digging ditches, we're just moving our little mouse fingers."

yeah i always state to my clients, especially when i dont get what they are saying " I know there can be misunderstandings through email, so i find it best we resolve things on phone for more clarity on the situation"

I find it time-wasting. The clients then thinks on the phone, instead of think on their own and formulate the sentences in e-email.

I love this! Customer service is so incredibly important and it seems most designers avoid it at all costs. Just browsing through design groups online, everyone acts like their clients are a burden. I am running my first course for newer designers (beta version right now) and I am making sure that customer service is front and center. If you treat your customers like crap you will eventually not have any, so treating them respectfully is vital to a successful business. I've also noticed that a lot of friction with clients take place because designers do not take the time to communicate expectations during the onboarding process and do not provide the tools that allow their clients to communicate effectively with them (I know from experience). We need to welcome the clients to the relationship with us that requires us to also set the tone and take the reigns, guiding the relationship.. otherwise the clients will feel like they have to take control and thus begins the downward spiral of a "bad client experience"

I like that you guys talked about non-responsive clients. I've had a couple clients who just disappear for months and then want to come back and jump right into their project like no time passed at all. Dealing with this prompted me to add an abandonment clause to my agreements/project briefs. So they read, acknowledge and sign an agreement that says if they go awol for over a certain amount of time the contract terms must be renegotiated and additional payment may be required. I've had clients pay me and then just completely vanish too and I don't get why they'd want to waste their money. it's pretty crazy.

Thank you for you video!Very helpful. I am just starting up and kind of had to register my company in. middle of my 9-5 job bc it got very busy and had so many clients coming on my way. Everything well and I have a very good well paid client who interduced me to a person who had three projects. I invoiced this person and they accepted it and paid the first installment, I provided them with 5-6 different logo options where I had put a lot of thought and there was story behind every single of them. But she said I think about them I like them. But since she had a logo previously after the conversation with the family, she decided to not have a new logo and cancelled the task on me! After that I said okay miss, understanding you were confused lets move to the other project and i won't charge you for the logo since I want this relationship. I spent another bunch of hours designing her book and after to weeks that she confirmed the design and she said she liked it. She came to me and said she found someone do all this for $100 and she would like to cancel and she wants a refund of the first deposit. Now I am pissed and don't know what professional behaviour is, and I take the blame for not setting up my policy and company properly before I start getting myself busy! Please help me here!

A good example of bad customer service is not understanding the contract (Client expectations including contract SLA terms) and not understanding the Client needs and expectations (the customer situation within the Client business). Not asking questions and systematically take the customer for a dummy.

Communication is very important, especially in a service business. I like to say that liability is often a great part of good service, I agree with Chris in that if an email is sent within a business day you should get an a response confirming that you saw it within 1 hour max, preferably 20 to 30 mins. As he also said, you don't need to give all the details, but at least let the other party know you received it, the assumptions why would an email not go through but hey technology has it's off days... I have a lack of communication problem in more ways than one at my location, from clients and service providers a like, especially when you're following an SOW it's tediously annoying to not have all the information confirmed asap. Good stuff on not writing an emotional email, a lot of things have gone wrong from that sort of thing lol. I found a good approach to difficult clients is to be the exact opposite of them, being the service provider the moment you react without thinking through, everything becomes your fault as liability now comes into the picture. To be clear don't be a pushover, just be confident and have clarity in your responses when an unreasonably, sometimes rude client is suddenly your reality. It's also good to maintain humility without losing your respect as a professional, so let them know you know what you're talking about but do it without being a prick, as even a clam response or if you appear to not know what you're saying can only fuel a difficult client. The correct saying for doing unto others "Do to others as you would have them do to you" So be treated like the price you are Chris lol. Another religious saying "you will heap burning coals of shame on their heads". Cheers! PS: Sometimes some people need to get what they give back...just make sure you plan on walking away from that project lol.

Really interesting. I have been working for over 30 years as an illustrator and have found that email has severely degraded my relationship with clients. Sometimes if I contact them by phone, especially if they are young, they are completely at sea, I guess because they have grown up with just texting. My biggest problem are clients who are not the end client. I seem to work through a chain of agents/packagers/god-knows-who, who micro-manage me instead of thinking of me as a valuable contributor. I guess they're all protecting their fat slice of the pie.

man i hate that kind of pilot pen! i have a bunch and because i'm left handed my writing ends up smearing. also they dry up and quit working too quickly. my favorite pen is an old cello superglide that someone left behind in a classroom once. i've had it for like 5 years now lol. still glides like unicorn tears

14:25 I'd like to elaborate on the replying to emails as you need to judge each situation differently. Some of your clients/client reps will understand your time is best spent doing the work they've paid you for and will keep communication concise, others may not. It's frustrating when you get in a situation and small emails are being sent you way several times a day. You could quickly reply but you risk not getting the message correct or your facts wrong if you're not careful, this could be potentially harmful in many ways. To avoid this try have the client agree to send their questions at a set time, or set a time where you will have questions answered. In a worse case scenario, they may start treating you like their secretary of random thoughts. My past reaction has been to respond 2 days later but in hindsight, the better idea would be to call them, reaffirm the process you both agreed upon and why you did that. Even if you charged enough and were able to assign a full-time project manager to a job, 1 question or statement can change the course of the project fast. Take care with every email is my 2 cent. I still manage to have a minimum of 3 spelling errors. Agree? Disagree? 1:14:14 2 fools indeed, the best pens are the Artline200 Fine 0.4 and Artline210 Medium 0.6

24 h is ok for the weekend, I am on Chris on this one. 24 h in working days - they will never take you seriously, they will treat you like unresponsible designer. especially if you work with a big company

I have 3 monitors, and on one there is e-mail. I work now, for example, on one huge project (so it is easy to stay connected with one client) and there is very tight timeline, and btw it is the biggest paint company in Finland, they are cool and best time management I worked with!) So I have to stay connected if there are changes etc. I am making the layout of magazines and catalogs renew now. But I guess for a different kind of job, like designing logo etc I would not respond so fast and would not check the emails all the time. So It depends on a type of work, maybe?

I think some designers are 'zone' based designers, they get in a zone and produce amazing work in that period of time, but distract them ONCE and that zone is all over.

you do not have to check the emails all the time, but once in a while won't ruin your work.. common.. also I am a woman, I can multitask, hm usually I multitask within a project though. Ok, that was a sexist comment. :D

I actually use cool apps for concetration, timers. They really work, not only for design things but everyday things too. Check them out

Contacted once again by the same individual who I have consulted with without compensation and once again he has returned to the well. I just emailed him that we have discussed a consultation/production fee in the past, so what is your budget for this latest request. The message may be to abrupt, but ...

say, "i'd love to help. i think the last time we spoke, it was a gesture of good faith on my part. to continue to help you without compensation would be against my now best interests. thank you for thinning of me. now, would you like to engage with me on a more formal level at a rate of $xx?"

Thank you for your prompt feedback. I will use your suggested (GREAT) response, if I hear back. Quite frankly, my gut tells me we are not a good fit as he refers to my daughter could do this, but ... or I have an intern who could handle this but ... These types of comments makes me want to ask why do you continue to reach out to me?

Embrace + Pivot. I suggest not asking, "why do you continue to reach out to me?" it sounds needy and seeking validation. I would just say, "oh, that's wonderful that you're daughter can do this. I imagine you'll save a lot of money working with her." the key is to call the clients on their bluff. if it's true, then good for them. by doing it this way, they'll either A) end the call and not waste any more of your time, or B) say, oh, i misspoke. i'm sorry. she can't do this. how can we move forward. that's it. any more questions and i'm going to send you a bill.

INTJ. but oddly enough, i took a quick test recently and it's now borderline ENTJ.

To get really nerdy on you, the Ni and Te is apparent. Your quick draw seems more ENTJ though, but INTJs seem to have a greater capacity for creative endeavors. Business beastmode either way.

I meant it more as a tongue in cheek/tap on the shoulder type of comment, no malicious intention. I deal with clients all day so I learnt to touchtype, I dont even realise the difference when I type a caps or a small letter anymore, that's where this was coming from. Thanks for all the videos, you and your team are really helpful, much appreciated.
