In this video we're going to look at the best ways to schedule a meeting in Microsoft Teams. This can be done through Outlook and Teams, so I'm going to show you both. This video is from our 'Master Teams Meetings' class available to buy in our school.

Very clear explanation, good job! For some reason i can't seem to plan the meeting though, when i try to plan it through Outlook a new window opens that just says "Unable to schedule the meeting. Please try again later.". Trying via teams confuses me even more, as there does not seem to be a calender option on my teams interface. Could this be because i have a student account and am already part of a team, or am i just missing something?

Hi. I just subscribed to your channel. Since you mentioned that members can start the meeting before schedule even before the host starts it, is there a way to prevent members from starting the meeting without the host? Like, they can just click join only when the host has opened or started it. Or is there another way to schedule such kind of meeting? Thanks in advance.

I don't have the calendar tab, which I think is called the "Channel Calendar" app when I look for it in the Apps section. When I install it, it only allows me to add it to a specific Team below a Channel. Is this how it works for you? This still then doesn't allow me freedom to set a meeting with someone new independent of others.

As a software engineer on Linux I thought it was a 'Teams for Linux' issue, but apparently it's a typical Microsoft crap-ware issue... After wasting 15 minutes on this piece of crappy gen-boomer software, I just gave up and send them a Discord link instead...

When the first person joins the call it will notify the attendees that it's started, but it doesn't automatically add them.

I'm in several different chat groups in my office. Those that have recurring meetings have the "Join" button visible at the top of the chat group at all times. It is always there. However, the meeting I set up for my direct reports doesn't show the "Join" button at the top of the chat group until the exact time the meeting is scheduled. How do I make that "Join" button always visible in the chat group?

Thank you. I'm an administrator and set up meetings for my manager. I am not required to attend the meetings, can I set up the meeting and can they share documents without me attending? If so, how do I do this?

Yes the organiser doesn't have to join the meeting. You schedule and then everyone joins without you.

You can start a meeting immediately but you can't schedule in the free version.

How do you save a created meeting before sending the invitation? Let's say you added some names but need a few more days to hear if everyone else you want to invite is available? I need to save the initial names and my note to send later. Thanks.

I don't think you can in Teams. As soon as you add a participant name, it makes you send the invitation. Have you tried Outlook?

There is not calendar app int Teams Free so you can't do it.

In the new version of Teams - how do you create a meeting on behalf of someone else? I have an assistant who has access to her bosses calendar, she used to be able to create a Teams meeting from Outlook and choose Teams Meeting. It would create the meeting with the link and importantly the dial in number as the boss has an O365 Audio Conf license. Now in the NEW Teams you cannot create the meeting in Outlook you have to do it via Teams - Calendar. How does she do this and have it created on his behalf so the dial in number is listed?

Sometimes it ask acceptance from host to start the meeting.. pop-up comes up in "participate" button...What scenarios are this?

Could that be for Guests? Your administrator can block anonymous attendees from starting a meeting. And stop people being automatically admitted.

For microsoft teams direct routing inbound calls, I am getting multiple 180 ringings from Microsoft teams side( that too with different tags) despite user is logged in at single device(no forking) ..Is there a way to restrict multiple 180 ringings to just one ?? i am expecting 180 ringing only once from microsoft teams side which is not happening.

@@CollaborationCoach I think I've got there. If you specific a channel when you first set up a meeting, it seems to shut down a whole load of possibilities e.g. tabs of meeting notes, whiteboards, and other tabs to be added in to the meeting. Not sure why this is.

Can you use a group? Like you would with a normal Outlook meeting? or you can add a meeting to a channel by choosing to 'Add Channel' on the new meeting page. Then everyone in the Team will get a calendar and email invitation.

When I schedule a meeting from within a team I unwillingly invite the teams group. Tis group isn't even in the attendees list. Is there a way to stop teams adding the group?

What if you are setting up the meeting in Microsoft Teams but the people you want to join the meeting do not use Microsoft 365? Are they able to join as well or do they have to have the programs necessary?

Yes they can join without Microsoft 365. They can join as a guest and they don't need to log in. If the guest is joining from a desktop, they don't even need the app installed on their device, because they can use a browser. If they join from a mobile, they need the app installed.

Not seen that before. Got to be something up with the Teams add-in. Maybe try re-installing Teams?
