How to send emails from a Trello board

Working with contacts in your Trello board? Here's 3 ways you can send an email without leaving Trello, including sending automated emails!
1. Trello Automation (use the "send email" action and reference a custom field with an email address)
2. Zapier (use this if you want to completely customize the email and remove any Trello branding from it - use this template: zapier.com/shared/47e426b3cee...)
3. Email for Trello Power-Up (use this if you want a combo of automation, in-Trello email editor, and viewing conversation history straight from your board)

Hello - this video was super helpful!! I have been trying to establish some Zaps to automate our client servicing and I saw this and thought I had it sorted..... however 😞I dont have the option of adding the custom email field in the drop down. I have tried setting the automation up in Zapier and also adding the power up option to the Trello board itself hoping it was just a lag and working directly with the board would resolve the issue. Any ideas why the custom field isn't an option for me?

Hey there - not sure if you're the same one that emailed me, or if you're someone else, but this is a common problem 😂 I find it to be hit or miss sometimes when i can access the custom fields with Zapier, and I remember reaching out to support and they helped me fix it, or they told me why it wouldn't work. I think last i checked they were making some updates on the way that worked. So I'd recommend reaching out to zapier support and telling them you which fields you can and cant access, and which ones you need.

Hi Brittany, is it possible to add specific dates and times to the ticket and reflect them within the automated email? Goal is to have customers receive an appointment confirmation. Thanks in advance for your reply! ☀️

Yes! You can set that as a custom field (date type) and then you can reference that custom field value in the email! This will vary depending on which method you use, such as Sendboard or sending emails with butler/automation, but either way it is possible!

Hey! Love your content! Been trying to get the email from Trello trigger to work using zapier, but can’t figure it out….we have a template card in our first list/board that we copy and enter a clients email into, I want an email to be sent right away to the client once that happens…when I set up on zappier and choose the “email” custom field it just says “no data” which is normal, since we don’t have an email there yet…but the zap test is blocking us from continuing…what am I missing!

Hey there! Try skipping the test, or see if you can create a card and add a test email address in there to try it out!

Professor, I'm from Brazil, nice to meet you and your work, I have a question, in the send an email notification to field, will this {{%Email}} send an email to all the guests on the board?

Nice to meet you! And no I believe that will just send an email to whatever email value is in the custom field called email. You should see an option to send to everyone on the board if that that’s what you’re looking for though. You’ll just need to select the box before the email field and look at the drop down (there’s an option for everyone on the card and everyone on the board)

Hi Brittany! Do you know why it will only send emails to the email that appears under "1. Email" in grey? Rather than the actual email associated with the card when moving lists. Thanks!

when setting up the trigger in Zapier, how do you select "any card' as an option?

By default it will be set to Any card! You'll see this when you set up the "Card moved to list in Trello" action from Zapier. It will ask you to select a board and list to watch, and then the third field will ask if you want to specify a certain card, but just leave it as is and it will be Any Card (you should also see the box confirming that)

I don't have a specific video about it, but you can use the send email action that i describe in automation as an action, and reference the email in that custom field value to send the email. You'd just need to go to Rules and create a trigger for "when a card is moved to list"... and then use that action!

how I get the information of the card into the email? I figured out how to send an e-mail - but I dont know how to make sure the card navn is in the e-mail. Els it just say whatever I type into the Body in zapier

Hmm, which part stopped working? I would go to board settings and check the Email-To-Board settings, and perhaps generate a new email address and try it again?

Hello, I have a question... I am looking to set something up where I can automatically email myself a copy of each card I create. The purpose of this is to document my work day and what I did. I am documenting how long I spend on each task.Basically, I need a copy of the board so that it is a record that shows I didn't change the card later on if that makes sense. Is there a way to do this on Trello?

Hmm, so i think i'm a little confused - you can 100% create a rule that says when you create a card, send you an email to yourself with the name of the card. If you want to keep track of how long you spend on a task, you could find a variety of time tracking tools in trello! Here's a video i made about those - kzfaq.info/get/bejne/oNhlkteE1py0YKM.html

I am looking for an automated way for a card and all of its details to be auto emailed at the end of the day. Currently, I have been taking screenshots of the cards and manually emailing them to myself. Is there an automated way of doing this?

@@justanothervote Oh like an end of day recap? You can use Butler email reports to send a report every day with details about cards that are in a specific list, so I think you could achieve something like this! Just head to Automation then "Email Reports" and you should see some options in there. You might be interested in Board Snapshot option, but that just sends weekly, although I assume you could set up multiple versions of that for each day. Hi Brittany, Is it possible to have the contact name of the person you are emailing in automated emails from gmail with Zapier? Also, can the gmail email be viewed in Trello or do all replies only go to your email not Trello itself?

Hey! Re the contact name - as long as you have it as the name of hte card or a custom field, you should be able to access that value with Zapier, so you can inject it into the email! And with Zapier - the gmail will not be viewed in Trello, although in theory you could also add an action that posts a comment to the card with the same contents of the email. But if you're wanting to really do a seamless gmail experience in Trello, I'd recommend Sendboard or Gmail by Cardbox!

Hmm, that's a good question. I can't think of a great way to do that, because I don't know how you'd link the email thread with the card. For instance, each card has it's own email address, so you could go to "share" on a card and see the email address for the card, and when you reply to an email thread, you could include that email address in the cc and it would add a comment, but you'd need to go find that unique card email address for each email you send to a trello board.
