As someone who is not into productivity apps as a hobby and just wants a place to make to do lists, organize my calendar, and take notes, I agree with the point at 7:30. Never heard of any of those apps (and 90% of the ones you listed tbh) and I'm super discouraged by the abundance of options and lack of uniformity. I have no desire to have a note taking app that uses a second app to integrate my to do list with my calendar application which uses a fourth app to pull information from my email app. It's too much work for the everyday person to bother with, including me. Not to mention 90% of them all have their own subscription fees and about 30% of them are cross-platform. As someone who uses Apple mobile devices and a Windows PC both for work and personal use, I'm kinda screwed. I have no interest in spending $100 a month to organize my thoughts. If that's the case, pen and paper will truly make a comeback for people who don't have the apps paid for by the company they work for. For a bunch of people that love organization, none of these things seem organized to outsiders.

I really like the feeling of dropping into the discussion of two great guys talking about things I love. That said, seven months later they couldn't have predicted that Evernote would double their costs, fire the staff with institutional knowledge, and seemingly have no notable feature stack on the horizon. Like others said, this was my reminder to go cancel my Evernote subscription. I've migrated to Notion and I love it.

The person that comes up with a unified format that can really function with attachments within many different productivity and note-taking apps will become very rich ! The success and uniqueness of Readwise is a great examples.

I'm amazed how this noise everywhere makes us go back to the basics. I've felt so overwhelmed by all the choices that I've carefully selected the one I was able to maintain easily and I want to go back to paper in the cases where it's better for me to do so.

I agree with Tiago's take on link based apps. It's hard for those in the productivity space to see the perspective of those outside and realize that most have not even heard of this way of note taking.

I actually just uses evernote as the dump base of emails and other stuff but it just seems wasteful to pay every month for a dump base from emails.

I think that the modularity of notion allow it to be the easiest app or the most complex app you can use. We all organize our lives differently and the fact that Notion can be anything to anyone is really at the core. However, there is definitely still a lot of room for improvement for the whole user experience. It will be exciting to see how it evolves.

Could not agree more, well said! As of late, it's the in thing for people to ring the death knell of Notion but the vision it has brought to productivity resonates with a lot of general public users Vs those immersed in all things productivity.

It shows just how niche the productivity space is that when KZfaq first offered up this video for me I understood the bits on Evernote and Notion and had NO IDEA what you guys were talking about in the second half of the video. Rewatching it just two months later and I'm nodding along and making notes as I draw out the Venn diagram for a collaborative bidirectional gardener-type outliner-to-knowledge-base-to-publication workflow space for our remote research-and-course-development team. And I wouldn't have understood half of the words I just wrote if I haven't had the crash course from your two channels.

A bit amused that I've gone so far into this niche of KZfaq that I recognize all the apps mentioned and understand and agree with exactly what these predictions are about. It's so interesting to see how these apps and companies evolve, misstep, and stagnate.

@joel ebsworth That is how I've been using it. It works for me as it prompts good productivity discipline. Things don't get lost. I'd love a bit more integration with other apps like Akiflow provides, but overall Motion is my preferred choice.

When Francesco mentioned Evernote, I had to quickly check when my sub ends with them. Over time, I have stopped using them and feel like I'm just giving them money for nothing. In the meantime, I need to export my notes. Evernote really needs to evolve conceptually. Apps like Obsidian, Roam, and LogSeq are way ahead of their time but will continue to gain traction as the evangelism grows.

well, they claim they love their "Infrastructure" so much, it would be easier to ditch their infrastructure and start from scratch, probably that their codebase are so messy to the point that changing one little thing equal to killing the entire app

To be fair, they do have a pretty comprehensive API if you are willing to pick up Thrift. The flexibility is very high. I do want them to do well, but I think it is probably already too late.

The point about todo apps not integrated enough to daily flows. Amplenote does a great job at that with the rating of apps for priority and the drag&drop week planner

Firstly, really enjoyed this video! Thank you… 👍🏾 I’ve mainly used Evernote and left them for a while over the last two years but now back. As a busy dad with 2 kids and a hectic workplace I do find structure hard and appreciate with Evernote I don’t really faff around with formatting. Retrieval is fast foo. I did notice (which was a nice little benefit) that the interface looks a lot more modernised in 2022 too. I tried Notion and do think it’s excellent, I just never have the time to shape it so easier to use Evernote and a nice task app.

I don't know how I'm just seeing this video, but I completely agree with the last prediction. I used to use task-management or to-do list apps, but since discovering motion, I stopped using all of them. As someone with ADHD, looking at a bunch of tasks in a list is so overwhelming and discouraging. Having Motion bock the time for me on my calendar in a way that ensures I prioritize by importance & due date is CRUCIAL. I have been so surprised in recent months that not many people are talking about it.

I think for the linking apps like roam, they could leverage some concepts used by search engines to link information within it's database to easily build a knowledge base. should be simple add some ML into that for intelligent insights from what's collected.

@@themattmasson wrote a bloody paragraph it seems it hasn't been sent. But I've being using capacities over the last few months. I'm a developer and it resembles me a lot of OOP, which makes it intuitive. But my personal favourite is bear notes, only apple ecosystem available tho.

Exciting and excellent video. I would like to add my 2cents. AI will be adopted by more companies. There are many Notes apps, but only a few are multi-languages that allow using Latin languages, right-to-left languages, or the Far East languages. I think the next thing Evernote should do is adopt more languages; it will boost them ultimately. I absolutely agree with Francesco that To-Do apps as they are today will disappear completely. Last, the borders between work and personal are going down (people working from home), and there will be a need to find a solution combining both worlds in a better way.

Tiago knocked this interview out of the park. Agreed with all of his points except Evernote. I know he's an Evernote fanboy but the app is trying to do too much to compete with other apps that also try to do too much. I really think they should focus.

if apps integrate, we can use the best function/feature of each app, for example todoist to capture from apple watch, and notion calendar or vimcal to edit and see it from ms windows desktop

I strongly agree with the concept of "Friction" used in this talk. I think that Modular Apps (undestanding modular as the ability to create blocks with functions like "To do list" or "Calendar") are great for the constantly evolving team projects. But in the case of Notion its so difficult to make a workspace feel comfortable with all that colorless user interface. I think that the things that can keep this Apps alive in the near future are : Frictionless setup, Visual Friendly user interface, and the most important : Integration with other apps. If those apps still want to be the all in one solution they will be digging their own graves

Oooh some spicy predictions. I love it! Totally agree with to-do apps. More to-do apps need to be opinionated and walk people through a system for getting things done, not just writing endless lists. I'm also with you Francesco, linked based apps I don't think are ever going to go mainstream in their current form. I can't even fathom trying to explain how my IRL friends (not productivity or PKM people) would use Roam or Obsidian. I can't find a use case where they would go through the setup and the learning curve... it's just not feasible.

I’m in the process of moving out of Evernote. Knowledge is moving to Obsidian and all the stuff like scans is going to Apple Notes. Evernote was a filing cabinet for me and they are trying to be more than that.

I definitely agree that to-do apps need to evolve into both planners and to do apps. I've come across the "Routine" app, which seems very promising!

Major red flag for me re: Routine -- as someone 10,000 places into their waiting list, I got a promotional email from them saying I can move 2000 places ahead if I invite someone else... into their waiting list. I don't think that's how a waiting list should work, especially when it's going at the pace that it is

Yay! Thanks for the wonderful news that my beloved Obsidian is nowhere close to going mainstream. Mainstream kills the company spirit behind the original product and is the reason why apps like Evernote and Notion have jumped the shark. They started being more popularity seeking than true to their core essence. With your assessments on pop adoption of Obsidian, it means that it should at least last the next year without selling out or trying to grow beyond the passionate fans it already has. Happy for the next year at least, keep that negative trend assessment coming!

I resonate with Francesco's third prediction, but like Tiago's point about Roam, Obsidian and Logseq, it will take a long time to go mainstream. I floated the idea of an application which combines a to-do list and a calendar to colleagues and the protests came in thick and fast.

Todoist kinda covers day planning by two-way integration with the Google Calendar. For people who are tied to other Google Suite products that is even better than planning the day in yet another product of the 3rd party. I mean, since all my co-workers book me in Google Calendar, planning my day elsewhere would cause unnecessary efforts.

The planner apps all suffer the same flaw. They may be a great concept but until they remember that a lot of the business world runs on O365 not Google they are seriously limiting the possible market penetration

Absolutely agreed. I've largely been looking for a great planner app to incorporate for my work which uses O365. Every app I come across uses Google thereby limiting my selection. So many great apps there, but only if they allow for O365! ☹

Same for Apple Calendar, I know it's not a big percentage of the market, but Amie for example looks and acts like it's a native Apple app, yet only supports Google Calendar, at least at the moment.

Exactly this. Productivity enthusiasm is a fashion business, full of people who pretty much started on Macs, Google, Evernote and maybe Todoist and branched off from there. They were like this exactly because what they chose wasn't dry, dull corporate stuff that Microsoft represented, especially back in the day. And it's still like that. Everything's Apple and Google by default, Windows and Android are afterthoughts and the Microsoft world doesn't exist. Phone apps, too: The US and Canada are pretty even with Android-Apple splits of about 55-45 and 60-40. The rest of the world? 72-28 in favour of Android.

I feel them on notion and now I’m in too deep I feel like I couldn’t get out even if I wanted because a lot of my stuff is in it. I wish I could do the zettlekasten note taking but my second Brain for some reason really loves the idea of working on an agile sort of workflow. I really hate Jira but I like the 2 week sprint kind of scrum system and that’s how I log my second brain. Everything is a ticket with story points and detailed notes. I sort of do a similar thing with epics and stories. There is linking but it doesn’t get too involved like I’ve seen some people’s notebooks in obsidian.

An alternative for Sunsama, Akiflow and Motion is Skedpal. I tried all 3 of them and what I can tell is the following: Sunsama is really nice because it encourages you to establish habits but it is laggy most of the time. Akiflow is also laggy and tries to do too much. It can bring things from other parts but if you have 6 sources of tasks maybe it’s time for a rethink of the system. Motion was very expensive and I webt to it for the auto-scheduling feature which is blown away by The system built in Skedpal. In Skedpal your tasks are auto-schedules based on: Time to complete it Priority Deadline Time-maps Existing event in multiple schedules The challenge is to go through the whole tutorial and understand it. It’s not something that you can jump in and work with it unfortunately. So if you are searching for a mix between Todoist, Motion, Workflowy and a calendar app, this would be it.

So if Tiago Forte is correct about using lots of specialized apps & services instead of one “mega-app”, then that sounds like Microsoft’s services would benefit. Many different specialized apps, linked together with “Loop”, and all (mostly) secure behind Microsoft’s security wall. As a small business owner, that sounds more appealing than a bunch of third-party apps & services, quasi-linked together with Zapier or something. In my opinion, there are too many security risks with the third-party method. Notion *could* be a good alternative to Microsoft, but only if they upped their security and ease of use. (Don’t get me wrong, I actually enjoy setting up my own databases and task lists, but it’s still *a lot* of friction to get up & running, which takes time away from just getting sh*t done!)

I'd have to disagree with every single statement 😅 Evernote is lightyears behind competitor apps and if the speed currently is what it is AFTER they rewrote their codebase I see no hope for a change. Next, If "least friction" was the deciding factor we would all be using Google keep. Lastly on the "reliability issues" of the linking apps roam, obsidian and logseq: I only have used obsidian and I can't even remotely recall any issue. In fact it is one of the fastest and most reliable pieces of software I have EVER seen in the consumer market. Also the fact that I can go to a css config file - say to change something in the theme - and literally change a value, completely arbitrarily to my liking, is insane (I'm not a developer). I honestly hope that the best product wins the race and not the lowest possible common denominator. Otherwise we could just have stayed with MS word

I think what i can Partially agree with them is when I think about recommending obsidian to my friends (who are not actively trying to be productive or a content creator or in any of that field ) it's really hard to tell why should they use these apps and it seem like the features that excites me the most they find them counterintuitive So i think for general audience Obsidian like apps are still very far from being mainstream Note :- i absolutely love Obsidian i think for creative thinking and making notes it's absolutely the best tool i found and stuck to

@@R_KP you could introduce obsidian to someone new by just saying it's Wikipedia and you use [] for links. this will cover probably 80% of the use cases the average user would use obsidian for. it is really important to emphasise that "good product" does not equal "commercially successful". most innovations do not fail on the technological level but on the economical

I’m totally onboard with the idea that apps like Notion will continue to try to bring everything all in one place, all within one application. However, I agree, this is going to fail as apps specialize and apps like Zapier that connect different applications are going to find a lot of success very quickly. I think there will be some new application like Zapier that will be used to integrate all of these different apps.

It won't fail. The concept of having a more monolithic application like what Notion and Anytype are aiming towards will continue to attract general users who don't need highly specialised functionality for everything. The ability to keep the majority of your information in one place that's quick to access, search, and doesn't require learning new interfaces is very appealing.

Not just those - you could pretty plausibly run your work life entirely in just Outlook and Teams, at least on the desktop (on mobile you'd probably need to add To Do and OneNote as standalone apps)

maybe Notion Pro and Notion SE🤣, the latter is for those who needs a minimum setup to improve the cost of learning over gain of productivity--every successful product follows this latent pattern of evolution, point-of-click camera, smartphone with only home button. Let’s hope digital tools like Notions continues to stay and improve.

Motion is legit, but they haven’t implemented quick capture outside the web browser and it’s disappointing. Too much friction to get stuff into the system. Love the idea of it time blocking for me though.

I would agree with Tiago on many apps rather than one does all. It’s simply too much of code to write that kind of functionality. The engineering effort is humungous. Regarding Notion, I don’t quite agree. They are moving from an all in one workspace to collaboration. They haven’t quite got it right , but they haven’t really got it wrong. On Tiago’s logic of novelty , why is ikea popular on that count ? . And why do we call things the ikea effect ..

I recently found out about Capacities from some random Reddit comment. I had never heard of it anywhere else. No YouTUbe videos or anything about it! My first impressions of it are very positive. Seems like a cross between Notion and Obsidian. Francesco mentions a app in the video called "Catalog" at 5:45 but I could not find any app with that name when I searched - maybe he meant "Capacities"?? Hopefully the guys make a video about Capacities soon!

I would like a software that is based on modules. So if you don't like the calendar module of a program you can choose from 10 others that are as good, but different. Maybe something open source.

I disagree with your last prediction about planner apps. Or at least it's not true of me personally. After trying for quite some time to time-block my tasks-in fact I used all three of the planner apps you mentioned-I've decided that a well organized queue of tasks in my todo app (Things) plus blocks of reserved but unassigned focus time on my calendar, works best for me.

My prediction ... Microsoft loop if done properly, it will won the whole competition... All i need an app that orgnize my notes and connect them effortlessly .. and create task and orgnize my calander effectively... Until now Notion is the best since i can create mpst of these things but it way more friction than the rest ... coda3 suck at the calendar thing .... Just one app do those things and i believe it will win the whole competition... Microsoft has a potential since they got calendar app, note app, powerpoint the whole office and also has management app...

Spicy Take- Things3 could be the next productivity leader if they introduce views. Just imagine their beautiful design and ease of use evolving into different views. If you look at their app they already have aspects of different views already in play. Just imagine the headings and todos laid out horizontally in a kanban view. Just imagine the card-style these use when expanding individual todos used in a document view. Just imagine taking individual todos and adding them to a grid calendar view then when we tap on them they expand into the current card-style.

If something sad happens, for example you die in the video game or you kill a chicken in Counter Strike, someone can say Write F in the chat to pay respect. In some cases the phrase is used if one of the players in a multiplayer game tells something sad that happened to them, for example, their girlfriend left them.

A lot of the time the cure for that is to keep it simple. I've been sucked into the vortex as well but thankfully my being a Windows/Android user and my workplace being a Microsoft shop saves me from the worst of it. But there's a reason those "I only use stock apps" / "just use Apple Notes" type memes keep going around. Fancy things look great, but we don't need a lot of it - organization costs effort, so only do so if it's worthwhile. Another adage: Every system that is successful and complicated grew from an earlier system that was less complicated and worked. If you try to go all in on some Ali Abdaal level of automated pipe everything through 200 apps type nonsense, you're just going to fail. Mail, calendar, cloud storage, a couple places to keep notes and write lists.

I take advantage of this video to ask probably the make probably the dumbest coming-out ever in the realm of productivity. Please note, I am old, I am 49. I come from sales, I served as a project manager in various capacity and various companies in different fields (mostly automotive and defense). I struggle, I really do, to have TO DO and PLANNING separated. since I started to work, in 1997, I always had to do things (lol call me captain obvious) but those things had to be done in a given time (to be effective) and BY a given time. like: it doesn't make any sense to spend 4 days writing a proposal for a customer if by the time the customer got your proposal he/she already decided.. also, please note: keeping track of this kind of date is very important for the survivability of the company because it allows people to understand where to invest money to improve the performance. So, here it is the coming out: am I the only one that cannot separate planning and to-do? is it that strange? please forgive me for the long post. thanks

I’ve been looking at productivity apps for the last few years and there is SO MUCH NOISE and COMPETITION. So I reckon FOR NOTE TAKING APPS: Evernote will have the biggest comeback. Obsidian and LogSeq will come in next (Obsidian and LogSeq will kill ROAM). FOR PRODUCTIVITY/TASK APPS I reckon TickTick and ToDoIst will survive and become TickTick AI and ToDoIst AI.

obsidian and logsec do not need mass adoption, because of the level of person drawn to these apps. DA community of computer science grads, doctors and Phd students, will ensure that those more meaty apps have long futures

I love Tiago, but think he is wrong about Evernote. Evernote feels like the girlfriend/boyfriend you broke up with and went back to several times, each time being reminded of how much they disappointed you that you finally decided to say goodbye forever,,,,no matter how great they look when you bump into them again.

The problem is that, people using the app, and use it to do something that the app are not intended to, kinda like using notion for sales status, marketing funnel, Todo List it will be lacking and lead to frustration. notion is good for good ol note taking, knowledge base, and light database, that's it, nothing more, nothing less. it work well without friction. for quick writing and organizing it into different category, Notion is still the best out all. the productivity app is considered great if it allow you to be productive "Effortlessly", if you catch yourself stop using the productivity app, didn't help you, abandoned or the app just straight up getting in the way, then it's not a great productivity app. if your Todolist became stale and abandoned in the app, then it's not a good app i'm agree with Tiago about specialized app, there are a lot of great productivity app that just boost your productivity instantly and effortlessly, it just fit in your workflow nicely, and everything start to click

I greatly agree about Todoist. Great Checklist app, but integration with calendar is basically essential, and It suffers from that. TickTick, is great in that area, almost a Swiss Knife for individual productivity but UI makes it a little "vintage" looking and falls short in NLP, which makes it slow to use. IF Todoist adds .txt /.md export and Calendar integration (see and edit events) will be almost perfect. However, TickTick Price is way better for all they offer (Checklist, Calendar integration, Basic notes, Habit Tracker, Pomodoro...). IF TickTick improves NLP (to the level of Todoist) and renew its UI (Fresh and simple) will be almost unstoppable.

I recognize that Notion has the hurdle of you needing to expend energy to get it working for you, but I think that its ability to allow you to cater it your team's needs is what makes it a powerful tool. I am not saying it is perfect. I do think that Notion needs to put itself in a position that doesn't follow the path of Evernote took. And now with Microsoft Loop on the horizon, my hope is that they don't let up steam.
