How to Make Fillable Forms Reusable in Word - Saving Forms as Word Templates

HOW TO MAKE FILLABLE FORMS REUSABLE IN WORD // For forms that need to be reused frequently, a best practice is to save your form as a Word Template file type and instruct users to open a new template each time so that the form fields will reset and be cleared. This allows a user to save a filled in form if needed, but then open a new template and have a blank new form to fill in. This is useful for things like a shipping request form or a daily health questionnaire. If users simply try to overwrite the form document each time, then that user risks leaving old or incomplete or even inaccurate information on the form when they submit it. You can save your document as a Word Template with the .dotx extension or .dotm if the form has macros.

This video is awesome thank you...i have a question. I added a Submit button to the form and saved as a word macro enabled template but once I do that all the legacy input Fields no longer work...do you know what i can do to fix it

Hi Sharon, great video. I saved my file as a dotx. However, when I open it and make changes and 'save', it simply overwrites my dotx template and does not prompt me to save as a docx. I can imagine that this is a simple mistake some of my users could make. Is there a way to only save in docx format by default rather than 'Save As' command? Thanks

hi Sharon this is exactly what I need and beautifully clear, although I'll have to go back over a few times to make sure. I want to send out a template so the user can use repeatedly and have a fresh blank every time. I also wonder if a "send" button to my email address can be added?

Hello - yes, if you have your users save the template file to their computer, they can open a clean blank version each time. Once they start filling in the form, they have the option to save and it will prompt them to rename and save as a document file type. Every time they open the template new, it will be blank. Do you and your users have Microsoft Outlook as your email client? I have between 5 - 7 different forms I have to use repetitively any given day. Is it possible to hotkey each fillable form using a macro so that I can pull up 1 of the 7 forms, tab through and fill out each of the fields, alt+x and paste it elsewhere, rinse and repeat?

I'm curious, if I would like to create a document where there are multiple repeated pages of the same template (but blank for every page) would that be possible? For example, the shipping template you created, to have page two of that document be the same template and so on and so forth...

Hi Jasmine! Yes, you could create your form template and copy all, insert a page break at the bottom and paste on each new page you want. Also, not sure if you are needing to create a mail merge document, but if so, I have a video you may find helpful: kzfaq.info/get/bejne/oNRgrc2pu53ckn0.html (this is when you have one template page that inserts data from a spreadsheet and creates a new page for each row of spreadsheet data). Hi Sharon, Thanks for the video. I am trying to have some sort of "clear" button where this form needs to be filled 30-40 times per day. I don't need to save it so after I print it I want to clear it quickly so I can start filling it again

Hello - if you are using all Legacy form fields, there is actually a Reset fields icon in the Legacy Tool drop-down area. So if you have a locked form that is restricted to filling in forms and you fill in out and print it, then you can click "Stop Protection" in the Restrict Editing panel, go to the Developer Tab, Legacy Tool drop-down where you see all the legacy form fields, and I believe it is the last icon that looks like an eraser. You can hover over the icon to see what it is and it should be a Reset icon. When you click it, it clears all the legacy form fields in your document. You would then have to start enforcing protection again to fill it back in. It is a few extra clicks to protect and unprotect, but hoping this solution may work for you. Hope it helps. Hello - yes, you can set this up by saving the data files and then setting up a Power Query to connect to a folder where the data files are saved so you can refresh your data in Excel to grab any new forms you save in the connected folder. Hi Kurt! There are things that you can do with Legacy tools easier than with Content Controls. My recommendation is to use all of either one or the other, but not to mix and match content control form fields with legacy tool form fields in the same document. Hope this helps! Thanks for watching!

.docx is pronounced "docs" .dotx is pronounced, "dots" If you place the template file in the custom templates folder, it will appear as a default option under the personal tab when the user clicks new.
